Overall

Responsibilities

: The activities related to this role is split approximately 50% finance and 50% sales/vendor administration. This role as an Accounting Assistant includes management banking/cash transactions on a daily basis, maintaining the vendor ledger accounts and customer ledger (chasing debt, sending out statements, answering queries). As a sales/vendor admin coordinator, the role requires creation of new accounts, resolving billing issues, GSA process and maintaining documentation for both sales and suppliers.

: Cash/Banking Reconciliation Perform daily bank reconciliations (Netsuite reconciliation process to Wells Fargo bank statements) Perform all bank transactional postings (supplier/customer ledgers or general ledger) Receive and sort incoming payments e.g checks Process credit card payments from customers via Stripe Accounts Receivable Processing and verifying credit applications include credit checks with agencies e.g D&B; Send out monthly statements to customers Resolve customer billing issues by investigating/reviewing invoices and identifying solutions Pursue payment on overdue accounts Accounts Payable Process vendor bills upon receipt and forward for approval via Netsuite workflows Customer/Vendor Administration Perform end to end Government/GSA activities Annual sales certifications Create new customers within Netsuite subject to all approvals obtained Create new vendors within Netsuite subject to vendor onboarding documents and checks completed Document retention (incl via docusign) related to customer, vendors, price lists, sales agreements Raise Purchase Orders (if there is a requirement outside of ME and Supply Chain processes) Provide vacation cover for airtime (IBIS) admin activities for other team member(s) Process support and improvements Assist the finance manager with ad-hoc financial tasks (including testing and integration activities for Netsuite migration and efficiency projects) General Office duties Assist with answering inbound telephone calls Coordinate office operations and administrative support Education and Job Experience: Associate or BS degree in accounting or finance preferred A minimum of 3 years prior experience in a similar setting Bilingual in Spanish Highly preferred Collections Experience a must. High Proficiency in Microsoft Word and Excel Proficient in Netsuite preferred Critical thinker and problem-solving skills Good time-management skills Excellent customer service skills Experience in developing systems or processes to keep accurate and thorough records. Pay: $22.00 - $27.00 per hour
