Performing Arts Administrative Manager (Avg 30 hours per week) Long Beach Camerata Singers About Long Beach Camerata Singers Long Beach Camerata Singers (LBCS) is the professional-level choral organization serving the City of Long Beach and surrounding areas. Now in our 60th season, LBCS is led by Grammy-winning Artistic Director, Dr. James K. Bass. The organization's activities include a large pro-core chorus, a 14-voice Chamber ensemble, an award-winning pre-K education program, and various fundraising and miscellaneous events. Job Summary The Administrator reports to the President and works closely with the Board of Directors. This 30-hour per week employee is responsible for the Box Office and Payroll and works hand in hand with the Technical Director to execute concert and fundraiser production. This is a hands-on working position with regular deliverables and deadlines to meet. This position requires attendance at LBCS concerts and fundraisers that occur on approximately 10 weekends per year. The organization maintains a small office in Long Beach, and job responsibilities can be accomplished through a combination of on-site and remote work. POSITION RESPONSIBILITIES: Box Office Duties and Patron Management Duties: * Utilize Ludus ticketing software to sell and distribute tickets for Camerata concerts and fundraisers. * Set up events and build subscription packages within Ludus; coordinate with webmaster to ensure links, graphics and descriptions are accurate and clickable. * Interact with patrons through phone calls and email; troubleshoot problems, assist patrons, answer questions * Work with singers and patrons to process group sales * Coordinate with marketing to communicate patron concerns * Maintain and ensure the accuracy of the patron database in the Ludus system Front of House Duties -- Concerts * Prepare Front of House schedule and task flow for each concert * Recruit staff for each concert, adequate for the number of patrons expected * Prepare signage for Front of House and seating * Manage starting change; reconcile and document cash transactions * Lead Box Office and Front of House onsite at all events * Front of House Duties - Fundraisers * Prepare Front of House schedule and task flow for each fundraiser * Recruit staff for each event adequate for the number of patrons expected * Prepare signage for check in and check out, and other aspects as needed * Manage starting change; reconcile and document cash transactions * Distribute and record paddle numbers if appropriate * Assist with spotting and recording pledges during Live Ask * Lead Box Office and Front of House at all Fundraising events * Work with patrons to collect pledge payments at the end of each event * Assist with invoicing and collecting outstanding pledges as needed Concert Programs: * Oversee and collect concert and fundraiser program content, working with other staff, designers, advertisers, donors and printers * Proofread copy * Coordinate printing of program and upload of digital version to website Personnel/Payroll Duties: * Work with Payroll clerk on bi-weekly payroll runs to ensure all information is input to ADP and onboarding paperwork is completed. Review and approve timesheets. * Collect and verify I 9 documents * Work with Personnel Manager on tracking and scheduling Sexual Harassment Training and Certificate Renewal * Oversee updates of Employee and Singer Handbooks and ensure compliance with State of California Employment Laws * Document and process Staff Contracts, Compensation Changes, etc, in conjunction with President. Other * Support Development with Gala RSVP, table seating and hospitality details * Support Development with Gala RSVP, table seating and hospitality details * Update and maintain Google Calendar * Issue and track Certificates of Insurance as required * Fill out quarterly ASCAP returns * Organize and maintain Google Drive and documents * Organize and maintain Dropbox * Manage purchasing of office and fundraising supplies as needed; communicate with bookkeeper; transmit receipts * Other miscellaneous tasks that may arise REQUIREMENTS: * Bachelor's Degree in Business Administration, Marketing, Music, Communications or related field preferred * Prior experience working with performing arts * Prior experience in Box Office and Patron Management * Proficient with Google Office Suite, Microsoft Office, including Excel and Word, mail merge techniques, PowerPoint, Canva, adobe acrobat, Zoom, Ludus or other ticketing software * * Bookkeeping and/or accounting skills a plus, including the ability to work within Quickbooks Online Pay: $42,000.00 - $48,000.00 per year Benefits: * 401(k) * Paid time off Work Location: Hybrid remote in Long Beach, CA 90815Long Beach Camerata Singers
