Listing and Transaction Manager + Executive AssistantAline Enterprise Group About the Role This role is vital to the daily operations of a fast-moving real estate business that includes sales, investing, and wholesaling. You will manage listings, transactions, projects, marketing tasks, open houses, social media posting, and time-sensitive duties. You must work with speed, accuracy, and full accountability. If you are looking for a stepping stone into sales, this is not the job. This position is for someone who is steady, confident, and able to handle a heavy workload without drama. The pace is fast, priorities shift often, and deadlines are non-negotiable. Autonomous execution and task completion are the core requirements. Who You Are * Quiet and focused. You stay calm, think clearly, and finish what you start. * Confident. You take initiative, communicate well, and push tasks forward without waiting to be told twice. * High-energy multitasker. You move fast, stay organized, and juggle several deadlines at once. * Detail-oriented with clean follow-through. * Comfortable with clients and able to handle updates, scheduling, and basic negotiation support. * Able to figure things out independently. You get approval for cost-based or client-sensitive items, but you handle the rest. * Reliable, structured, and consistent. * No interest in drama, excuses, or slow environments. * Real estate experience is helpful. Adaptability and operational skill are essential. Core Responsibilities Listing Management * Manage seller files from first contact through executed agreement. * Secure signatures and maintain accurate documentation. * Enter and update data in MLS, CRM, and transaction systems. * Coordinate repairs, staging, cleaning, photography, signage, access, and pre-market tasks. * Set up lockboxes, signs, key copies, and open house materials. * Host open houses when required. * Maintain weekly communication with sellers and track showing feedback. * Coordinate inspections, receipts, re-inspections, walk-throughs, and closings. * Ensure closing gifts and follow-up reviews are completed. Transaction Management (Buyers) * Manage buyers from tour scheduling through closing and key delivery. * Oversee inspections, vendor coordination, documents, and updates. * Assist with repair negotiations and appraisal issues. * Coordinate moving timelines, possession, and post-closing tasks. * Ensure all information is entered cleanly and updated in the system. Executive Assistant Duties * Manage schedules, inbox priorities, forwarded calls, and urgent requests. * Handle errands and site visits using your own vehicle. * Support tours, events, and property prep when needed. * Complete tasks fully and on time, with clear communication and follow-through. * Keep deadlines visible and prevent bottlenecks. Project Management * Track and complete itemized tasks assigned by leadership. * Support accounting and bookkeeping by recording transactions and organizing documents. * Coordinate marketing needs for listings and business projects. * Post approved content and assist with social media tasks. Affiliate and Database Support * Maintain a clean database with accurate information. * Coordinate referral gifts, closing gifts, and partner follow-ups. * Help organize meetups, team events, and client events. What You Will Not Be Doing * Cold calling * Sales * High-level negotiations Key Software MLS systems, Docusign, Zipforms, MS Office, Go HighLevel, iWork, G-Suite, OneDrive, and general CRM and workflow tools. You must pick up new systems quickly. Success Looks Like * Zero missed deadlines * Files processed cleanly and on time * Marketing, social media, and operational tasks completed without reminders * Leadership gains 20 to 30 hours a week of freed time * You maintain accuracy while keeping pace with shifting priorities * Problems are handled before they become problems * Tasks are completed fully, cleanly, and on time Details * Hours: 30+ hours weekly, M-F 9:30 am to 4:00 pm, with required flexibility on nights and weekends * Location: Hybrid -- approx. 30% field, 50% office, 20% remote * Job Type: Full-time or part-time * Pay: Base $36,000 plus bonuses * Bonus: $125 per transaction over 15 transactions per month * Vehicle: You use your own car for errands and property visits Non-Negotiable Autonomous execution. If you cannot run your work without constant direction, this is not the role.
