Serving areas from Pinecrest to the Florida Keys, we specialize in luxury homes and investment properties. Our team is passionate, collaborative, and focused on delivering a first-class experience to every client. We're looking for a Real Estate Administrative Assistant. Someone organized, professional, and motivated to help keep the brokerage running smoothly and efficiently. A real estate license is not required for this role. Position Overview The Administrative Assistant is the backbone of the office, supporting daily operations, marketing, and communication for both the agents and management team. You'll handle scheduling, document preparation, and assist with listings and closings to ensure every client interaction runs seamlessly. Key Responsibilities Office & Administrative Support * Greet clients and visitors, answer phones, and manage email communication. * Maintain office organization, supplies, and daily workflow. * Assist with document preparation, file organization, and scheduling. * Track tasks, follow-ups, and timelines to help the team stay on top of deadlines. Listing & Transaction Assistance * Prepare and organize listing documents and marketing materials. * Coordinate photography, signage, and listing updates. * Maintain digital property folders and track milestones from contract to close. * Communicate with title companies, vendors, and clients to support smooth transactions. Marketing & Social Media Support * Create and post property content and updates on social media. * Help design and distribute flyers, newsletters, and marketing campaigns. * Maintain consistency across Pine River Realty's online brand presence. * Assist in organizing client events or brokerage promotions. Agent & Team Support * Support new agent onboarding (email setup, branding materials, team introductions). * Prepare presentation packets for meetings or listing appointments. * Help coordinate open houses and client showings. Skills & Qualifications * 2+ years of administrative or marketing experience (real estate experience a plus but not required). * Strong attention to detail and multitasking ability. * Excellent communication and organizational skills. * Proficient with: * Canva or Adobe tools (for marketing materials) * Google Workspace or Microsoft Office * CRM or project management software (preferred but not required) * Comfortable in a fast-paced, boutique office environment. * Professional, reliable, and friendly demeanor.
