Full description of the position
SUMMARY: This position is responsible for managing and expanding business relationships with targeted prospects for catering and rooms; developing and implementing strategy, sales plan, and forecasts for overall business development, sales, and account management. Coordinate and execute all the details required to ensure an event runs smoothly and successfully. In addition, to assists and support the Sales Department by performing duties and responsibilities. COMPENSATION: $60,000 - $70,000 + Commission DUTIES AND RESPONSIBILITIES: * Generates and develops new business to meet specified goals for catering and rooms. * Maintains and nurtures new and existing client relationships. * Manages consistent growth within particular client base. * Makes and develops contacts with selected staffing clients and strategic partners. * Develops customer relations including but not limited to sales leads, research, cold calling, qualifying leads, developing leads, and customer service. * Maintains and develops client relations for new and established existing customers, assuring all existing customers are contacted regularly to ensure customer satisfaction and develop need-based marketing relations. * Develops and implements a sales action plan with objectives and strategies to increase revenue and aggressively acquire new accounts. * Seeks and creates opportunities to expand business with current clients identifies further business needs and develops and presents solutions. * Completes necessary paperwork for the execution of an event; Staffing, Table, chafers, linens, etc. * Communicate and Coordinate with all department heads to ensure all staff is aware of the events and prepared to assist guests with questions for upcoming group events. * Attend all weekly BEO meetings * Communicate and schedule proper staffing needs for group events to ensure a successful program * Coordinate and setup room design for events based on BEO and salesperson requirements * Perform a monthly inventory of banquet supplies and accessories to ensure that all items are properly cleaned and stored * Supervises set-up, preparation, service, and tear down of events, and assists as necessary. * Serves as a professional liaison between the group event's contact person and the organization * Attends conventions, conferences, and trade shows as needed; prepares post-event reports and analyses. * Analyzes existing and anticipated client needs and promote company services to fill such requirements. * Formulates the overall objectives and strategy to develop a high-value relationship within all targeted areas of the accounts. * Understands prospective client's culture, product portfolio, competitive position, financial state, investment plan, organization structure, and key decision makers. * Functions as liaison between client companies and operations staff. * Performs other related duties as assigned by management. * Process Group Room Contracts for turnover from Director of Marketing and Sales * Verify group blocks transfer correctly from the system including rooms and rates input group reservation data. * Apply concessions to group reservations (upgrades, special rates, comp nights, etc) supply group contact, catering, or sales with rooming list and pick-up reports when requested. * Provide administrative support to Sales Team as needed: o Assists coordinate site inspections, expense reports & email follow-up o Assist Director of Sales and Marketing with Reservations, Tradeshows, etc. o Assist with Group Resumes o Assists with writing proposals and creation of agreements. * Performs general secretarial duties including typing, filing, word processing, and answering phones. * Collaborate with the operations team to develop and implement cutting-edge, comprehensive plans for groups and events * Oversee the efforts of the event for the hotel. Lead by example and mentor team members to effectively implement smart strategies * Nurture and grow client relationships through upselling and proactive customer service once contracts have been signed * Plan, organize, and manage all aspects of events and group meetings from conception to completion, including menu and room set planning, audio visual, logistics, equipment rentals, tastings, menus, themes, walkthroughs, participation on the floor during event service, invoicing, and follow-up * Negotiate with clients for banquets, meetings, and other functions, all arrangements, suggesting menus, bar set up, and room arrangements as per policy and procedure. On completion of negotiations, inform other departments of arrangements in writing which are necessary to assure the success of the function * Understand the impact of Banquet operations on the overall success of the hotel QUALIFICATIONS: * Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience. * Computer skills required: Accounting Software (QuickBooks); Database Software (Access); Development Software; Internet Software; Payroll Systems; Spreadsheet Software (Excel); Contract Management Systems; Design Software; Human Resource Systems; Inventory Software; Order Processing Systems; Project Management Software; Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint); and Publisher software. * Other skills required: o Ability to create sales results in a complex sales environment. o Excellent written and verbal communication skills. o Proven leadership and business acumen skills. o Well-developed negotiation, project and account management skills. o Demonstrated ability to make successful presentations to individuals and/or groups at all levels of an organization. o Ability to work independently and as a member of various teams and committees. o Commitment to excellence and high standards. o Ability to work with all levels of management. o Strong organizational, problem-solving, and analytical skills. o Good judgment with the ability to make timely and sound decisions. o Creative, flexible, and innovative team player. o Excellent problem resolution and consultative sales skills. o Proven ability to handle multiple projects and meet deadlines. o Strong interpersonal skills.
