Full description of the position
We are looking for a fulltime Catering and Events Manager for our Northbrook Renaissance location! Assists the Director of Sales in the direction of Banquet team. Position is responsible for all communications between banquet managers, their respective customers, sales & catering associates, and the hotel event staff. It is responsible for revenue maximization of groups. The role is accountable for successful execution of all meetings and events to ensure customers remain loyal and book future business with hotel/company and solicits and capture catering only functions (that may include rooms), while maximizing the banquet space to meet and ideally exceed catering revenue goals. Position is responsible for booking and event managing catering business. Recommends program and procedural changes. CATERING SALES ESSENTIAL DUTIES AND RESPONSIBILITIES Essential duties and responsibilities include the following (other duties may be assigned): * Sales and Client Management: * Develop and implement action plans to target new and existing accounts, aiming to meet and exceed sales revenue expectations. This includes leveraging a personal network and a developed "book of clientele." * Maintain and grow relationships with customers, competitive sets, and community and professional organizations to enhance visibility and increase market share. * Market Analysis and Strategic Planning: * Analyze market trends, competition, and customer needs to adapt strategies that maximize revenue and achieve sales goals. * Execute territorial marketing strategies and conduct regular analyses of hotel performance to ensure alignment with revenue and sales objectives. * Proposal and Contract Management: * Qualify leads, negotiate and finalize catering packages, room rates, and hotel services within booking guidelines. * Prepare and follow up on proposals and contracts to close business effectively. Ensure the processing of definite contracts and coordinate the information flow through the hotel's administrative process. * Operational Coordination: * Plan and detail events with clients, including space requirements, schedules, equipment, menus, and themes. Coordinate with hotel departments to ensure service delivery and resolve any issues to ensure customer satisfaction. * Initiate payment processes, handle initial deposits, and oversee billing setups prior to transitioning responsibilities to the Event Services Manager. * Revenue Maximization: * Actively solicit new business and repeat clients through various sales efforts such as outside calls, telemarketing, and networking. Maximize banquet space utilization and sell all hotel facets, including dining, spa, and additional services, to meet revenue targets. * Reporting and Compliance: * Prepare regular status and end-period reports to assess productivity and sales achievements. * Maintain up-to-date knowledge of industry practices, hotel procedures, and competitive landscape to refine sales strategies continually. * Professional Development and Engagement: * Engage in professional organizations and community activities to maintain high visibility and promote sales. * Maintain professional communication with guests and colleagues, ensuring positive interactions and adherence to corporate and hotel standards. * Special Projects and Additional Responsibilities: * Undertake special projects, participate in task forces and committees as necessary to support business needs and organizational objectives. EVENTS ESSENTIAL DUTIES AND RESPONSIBILITIES Essential duties and responsibilities include the following (other duties may be assigned): 1. Details and arranges all group and catering events as outlined in contracts negotiated by the Sales team. 2. Prepares Banquet Event Orders, actively upselling food and beverage options, room rentals, recreational activities, special amenities, and technology. 3. Ensures thorough communication of all Event Orders to relevant departments through written updates, meetings, and briefings. 4. Serves as the primary on-site liaison for all meeting groups, coordinating closely with Event Staff to facilitate larger gatherings as required. 5. Generates weekly and other departmental reports as required for leadership and financial oversight. 6. Participates in and helps lead weekly resume and Banquet Event Order meetings, as well as training sessions and other designated meetings. 7. Provides feedback on guest experiences and industry trends to the Director of Sales. 8. Conducts post-event follow-ups with clients to gauge satisfaction and gather feedback. 9. Assists with and completes special projects and assignments as directed by the Director of Sales. 10. Supports budget and forecast preparation as tasked by the Director of Sales. 11. Conducts property tours for meeting planners and potential clients, detailing all available hotel services and hosting during site inspections and pre-event planning visits. 12. Develops and maintains industry relationships, participates in community organizations and professional associations to enhance visibility and market share. 13. Possesses extensive knowledge of the hotel's local area, including its history, culture, and attractions. 14. Ensures proper handling and submission of all guest payments, master folios, and deposits to the accounting department, and shares relevant catering or group business details with appropriate departments. 15. Manages the allocation of Rewarding Events points post-event. 16. Collaborates with culinary staff to create custom menu offerings for events. 17. Maintains updated documentation for events including Banquet Event Orders, group resumes, and rooming lists, ensuring all departments receive accurate information. 18. Represents the hotel in finalizing sales and catering agreements, negotiating terms and prices for services not detailed in the master agreement. 19. Oversees client services through site visits, board meetings, menu tastings, and planning meetings for confirmed and prospective groups. 20. Leads regular Banquet Event Order meetings and directs the event team in executing these orders. 21. Coordinates closely with the Banquet Manager and Banquet Captains to uphold service standards. 22. Works with the Director of Sales, Banquet Manager, and Executive F&B to develop competitive and unique menus for various events while managing food costs. 23. Analyzes the use of function space to optimize usage and maximize revenue. 24. Prepares detailed reports and analysis related to group activities, ensuring all correspondence and internal communications are well-documented. 25. Manages the logistics of guest rooms, meetings, and events, coordinating with respective departments and team members. 26. Proactively manages customer relationships concerning payment structures, room block management, and overall event profitability. 27. Analyzes service needs and financial issues for in-house groups, authorizing solutions that maintain profitability while resolving customer concerns. 28. Engages in department-specific and other internal meetings as directed by the Director of Sales to ensure alignment with broader hotel operations and revenue management goals. *SUPERVISORY RESPONSIBILITIES - *Not applicable QUALIFICATIONS * Requires thorough knowledge of the practices and procedures of the catering, food and beverage, menu development and pricing. * Requires knowledge of the hotel's policies and procedures and the ability to determine course of action based on these guidelines. * Requires ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations. * Must possess communication skills in terms of the ability to negotiate, convince, sell and influence professionals and/or hotel guests. * Ability to drive to outside sales calls. * Excellent hearing required for verbal interaction with guests and Employees. * Excellent vision required for viewing set-ups. EDUCATION AND/OR EXPERIENCE More than two years of post high school education, but less than a degree from a four-year college. Experience required by position is from one to two full years of employment in a related position with this hotel or other hospitality organization(s). LANGUAGE SKILLS Excellent speech communication skills required for verbal interaction with guests and Employees. Excellent comprehension and literacy required to develop marketing plan, create menus and programs, etc. MATHEMATICAL SKILLS Ability to calculate amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. *CERTIFICATES, LICENSES, REGISTRATIONS - *Not applicable PHYSICAL DEMANDS Practice written safety standards and rules at all times. HOURS Due to the business demands of the hospitality industry, and the fact that the hotel provides guest services 24 hours a day, 7 days a week, any employee may be required to work rotating shifts, including weekends and night shifts.
