Full description of the position

* Arrange appointments by telephone for the Broker / Property Manager . * Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals * Follow up on loan commitments after a contract has been negotiated and generally secure status reports on the loan progress. * Assemble documents for closing * .Collect deposits from prospective tenants for leasing. * Order and track work orders for all properties manage by Broker * Conduct credit, eviction and Criminal Back ground on all prospective tenants . * Collect Application fee from every agent/ applicant Via Credit card, Cash or Money order * Collect Monthly rent from tenants that come to the office * Write ads for approval of broker and place approved classified advertising. * Type contract forms for approval of broker. * Submit approved listings and changes to Multiple Listing Service (MLS). * Order items of repair as directed by the broker/ Property Manager. * Secure public documents from county clerks, courts, water and/or sewer departments or any document from another public repository. * Prepare flyers and promotional information for approval by broker. * Schedule appointments for licensees to show listed properties . * Gather information for a comparative market analysis. * Gather information for an appraisal. * Perform secretarial and clerical duties such as typing of letters and filing. * Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications. * Make copies of correspondence or other printed material. * Meet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. * Learn to operate new office technologies as they are developed and implemented * Set up and maintain paper and electronic filing systems for records, correspondence, and other material. * Compose, type, and distribute meeting notes, routine correspondence, and reports. * Complete forms in accordance with company procedures. * Schedule and confirm appointments for clients, customers, or supervisors. * Conduct searches to find needed information, using such sources as the Internet. * Order and dispense supplies throughout each department * Open, read, route, and distribute incoming mail or other materials and answer routine letters, locate and attach appropriate files to incoming correspondence requiring replies. * Maintain scheduling and event calendars. * Manage projects or contribute to committee or team work. * Mail newsletters, promotional material, or other information. * Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions. * Operate electronic mail systems and coordinate the flow of information, internally or with other organizations. * Provide services to customers, such as order placement or account information. * Arrange conference, meeting, or travel reservations for office personnel. * Coordinate conferences and meetings. * Responsible for the collection and disbursement of funds from cash accounts, and keep records collections and disbursements. Must sometimes establish work procedures or schedules and keep track of the daily work of clerical staff . Job Type: Full-time Pay: $20.00 - $23.00 per hour Schedule: * 8 hour shift * Monday to Friday Ability to commute/relocate: * West Palm Beach, FL 33407: Reliably commute or planning to relocate before starting work (Required) Experience: * Administrative Assistants & Receptionists: 2 years (Required) * Customer service: 2 years (Required) Work Location: In person
