Full description of the position

A leading manufacturing company in Oxnard, California, is seeking a reliable, organized, and customer-focused individual to join our team as a Warranty and Customer Service Specialist. This vital role serves as a primary point of contact for our customers, ensuring they receive the best possible service and administrative support. Key Responsibilities As a primary point of contact for many customers, you will be responsible for a variety of critical tasks that ensure our customers receive excellent service and support: * Customer Communication: Professionally manage high-volume incoming and outgoing calls and emails. Act as the first point of contact to analyze customer issues, determine the nature of the inquiry (technical, warranty, return, or general inquiry), and efficiently direct it to the correct internal department when necessary. * Warranty & Returns Processing: Own the end-to-end processing of all warranty claims. This includes interpreting warranty policy guidelines, gathering necessary documentation (e.g., photos, proof of purchase), coordinating with quality control/technical teams for fault analysis, and issuing appropriate resolution (replacement, credit, or repair). Order Entry: Enter sales orders into our system efficiently and accurately. * Product Returns (RMA) Processing: Generate and manage Return Merchandise Authorization (RMA) numbers. Track and log incoming returns, verify product condition against the claim, and process necessary inventory adjustments. * Order and Data Integrity: Accurately and efficiently enter and modify sales orders in the ERP system. Maintain and update detailed customer records, product notes, and claim history to ensure data integrity across all platforms. * Documentation & Reporting: Assist in developing and updating Customer Service SOPs (Standard Operating Procedures) and contribute to monthly reports detailing claim volume, defect trends, and resolution efficiency to support continuous improvement efforts. * Administrative Support: Provide essential general clerical and administrative assistance to the team as needed. Required Qualifications Successful candidates will possess the following: * Experience: Minimum of 2+ years of demonstrated success in a Customer Service, Warranty Administration, or Claims Processing role, preferably within a manufacturing or e-commerce environment. * Analytical Skills: Proven ability to read and interpret technical documentation or policy manuals to make accurate coverage determinations. * Communication: Exceptional verbal and written communication skills with the ability to maintain composure, professionalism, and empathy while resolving challenging customer issues. * Technical Proficiency: Strong computer literacy, including advanced skills with Microsoft Excel (data entry, basic filtering/sorting), Outlook, and experience navigating an ERP or CRM system (e.g., SAP, Salesforce, NetSuite). * Attributes: Highly reliable, detail-oriented, self-motivated, and capable of managing multiple priorities in a fast-paced environment. * Schedule: Available to work Monday through Friday, 7:30 AM - 4:30 PM.
