About the Role
We are seeking an experienced Administrative Assistant with strong bookkeeping and organizational skills to join our Boca Raton office on a part-time basis. This position is ideal for a seasoned professional who values work-life balance -- perfect for those seeking reduced hours, returning to the workforce, or transitioning toward semi-retirement while maintaining meaningful, structured work in a calm and stable environment.
Responsibilities
- Process and manage vendor invoices, payments, and accounts payable using QuickBooks.
- Prepare and send invoices to tenants/customers for rent, CAM, or services.
- Track and pay utility accounts across multiple properties.
- Handle monthly sales tax submissions and assist with 1099 filings.
- Manage and organize building permits, inspection schedules, and renewals.
- Oversee tenant compliance: insurance certificates, notices, and fines.
- Keep accurate digital and physical records of leases, payments, and correspondence.
- Support ownership with various administrative and accounting-related projects.
Qualifications
- Minimum 5 years of experience in office administration, accounting, or bookkeeping -- ideally within property management, construction, or real estate.
- Proficiency with QuickBooks and Excel required.
- Strong organizational and communication skills.
- Familiarity with Florida sales tax filings and 1099 preparation preferred.
- Dependable, detail-oriented, and able to work independently.
