About Us: Nestled in the heart of Tucson, Arizona Inn is an 89-guestroom iconic and historic property that blends timeless charm with modern comfort. Renowned for its rich heritage, personalized service, and elegant event spaces, the property offers a boutique hospitality experience for guests seeking both leisure and business retreats. Position Summary: The Sales & Catering Coordinator plays a key role in driving group, catering, and event revenue for our iconic and historic property. This position supports the sales team by coordinating group bookings, meetings, weddings, and social events while serving as a primary liaison between clients and hotel operations. The ideal candidate is highly organized, detail-oriented, and passionate about hospitality, with an appreciation for the charm and service standards of a historic property Key Responsibilities Sales & Administrative Support: * Assist the Sales Team with group, catering, and event sales efforts. * Prepare and distribute contracts, proposals, banquet event orders (BEOs), and group resumes. * Maintain accurate records in the property's sales and catering system. * Manage sales calendars, event timelines, and space utilization. Catering & Event Coordination: * Assist with site tours of the historic inn for prospective clients. * Act as a contact for clients leading up to the event, ensuring all details are clearly communicated. * Collaborate with Food & Beverage, Front Desk, Housekeeping, and Maintenance teams to ensure flawless event execution. Client & Guest Relations: * Assist on-site during events as needed to ensure guest satisfaction. Reporting & Revenue Support: * Assist with pickup reports, and post-event follow-up. * Track room blocks, catering minimums, and deposits. Qualifications Required: * Strong organizational skills with exceptional attention to detail Preferred: * Familiarity with sales and catering systems (e.g., Delphi, Opera, Amadeus, or similar. * Excellent written and verbal communication skills. * Proficiency in Microsoft Office (Word, Excel). * Ability to multitask and thrive in a fast-paced, guest-focused environment.
