Full description of the position

Overview This role is the backbone of our events team -- the person who keeps everything connected, moving, and on. We're seeking a highly organized Sales Administrator / Assistant Event Producer who blends admin precision with event curiosity. This is a hands-on role with real exposure, clear growth potential, and a front-row seat to luxury weddings and social events. What You 'll Do * Manage and coordinate vendor and client email communication * Distribute weekly BEO packets to internal departments * Assist with BEO updates, revisions, and accuracy checks * Support floorplan creation and event layouts * Conduct in-person site tours when needed * Provide day-of event support wherever it's most impactful * Assist Sales and Events Managers with administrative and operational needs * Act as a connector between sales, operations, culinary, and banquet teams What We 're Looking For * Strong organizational skills with sharp attention to detail * Clear, professional written and verbal communication * Ability to juggle multiple priorities and deadlines * Positive, can-do attitude with a team-first mindset * Interest in weddings, events, and hospitality operations * Can suit an entry-level candidate eager to grow or a seasoned professional who prefers a behind-the-scenes, structured 9-5 role * Experience with event software (Tripleseat a plus, not required) Scope & Growth This role is flexible by design and can be shaped around the right candidate. * For growth-minded candidates: opportunity to take on light event detailing, including select corporate groups, with a clear path toward an Event Manager role * For candidates seeking stability: a strong administrative and support-focused position that plays a critical role in event success without heavy client-facing demands Why This Role Matters This position touches every phase of an event -- sales, planning, execution, and follow-up.
