Job Summary We are seeking an experienced Executive Assistant to join our team. The ideal candidate will be responsible for general and over-all support for the Commercial Sales and Leasing Team. The Executive Assistant will demonstrate a high level of professionalism and customer service. Executive Assistant Duties * Performs a variety of administrative tasks including, but not limited to: phone calls, emails, scheduling appointments, preparing brochures, reviewing online advertisements, etc. * Coordinates showings with prospective tenants, buyers, investors, and agents. * Preparation of any other documents necessary for the operation of commercial real estate sales and leasing, which shall include, but not be limited to: purchase contracts, lease agreements, listing forms, addendums, etc. * Assist the Senior Commercial Agent in conducting follow-up on potential leads, inquiries, opportunities, etc.; review all marketing materials and coordinate with the Marketing Coordinator; follow-up with clients regarding listings in the agency; follow-up with potential buyers, tenants, or investors regarding market conditions and opportunities; perform searches and general market knowledge regarding new listings for potential buyers/tenants; listing presentation preparation and/or discussion with clients; coordinate execution and delivery of documents pertinent to business. * Perform regular inspections of the listings and make suggestions regarding condition for salability. * Assist with preparations of weekly and monthly listing reports. * Prepare invoices for lease and sale transactions. * Manage CRM for current and potential clients. Manage internal workflow system for the commercial team. Executive Assistant Skills * Strong administrative skills with proficiency in office software applications including Microsoft Office and Outlook Calendar for scheduling and organization. * Comfortable with the use of other online-based software programs. * Excellent proofreading skills to ensure all documentation is error-free and professional. * Ability to interpret and follow verbal and written instructions. * Ability to communicate effectively, both verbally and in writing and exercise diplomacy. * Ability to coordinate projects effectively, ensuring timelines are met and deliverables are achieved. * Knowledge of business correspondence for effective communication with clients and team members. * Interpersonal skills necessary to effectively interface with all levels of personnel and ability to work in a team environment. * Demonstrate ability to maintain confidentiality and to use discretion in the performance of daily activities.
