Full description of the position
JOB SUMMARY Reporting to the Sales Manager, the Sales and Marketing Coordinator performs advanced administrative, database management and event support services for the new buildings and facilitates daily operations of the marketing team. The Sales & Marketing Coordinator respectfully interacts with all residents, family members, visitors, colleagues, and staff. This is a safety sensitive position. The omission of an essential function does not preclude management from assigning duties not listed herein if such functions are a logical assignment to the position. * Plan and execute all logistics related to special events which include groundbreaking ceremonies and on or off-site meetings to maintain engagement with prospects/depositors for an extensive period of time (i.e. - 2 years). * Builds relationships with our new residents and seeks to understand the magnitude of the residents' decision and is compassionate with the residents' needs and feelings and responds appropriately. * Create email blasts, mass mail outs, and general marketing automation. * Maintain advertising files for OIR Statute 651. * Answering phones, greeting visitors, screen inquiries in a pleasant and professional manner. Provide telephone support to sales team as needed. * Produce and distribute reports, maintain files, keep time/expense/commission sheets for sales staff. * Operate and administer CRM database: * Prepare accurate reports from the CRM. * Maintain database effectively and in a timely manner with all inquiries. * Plan and manage social media platforms. * Handle all aspects of independent living resident internal apartment moves - communicating availability, coordinating changes, and generating proper paperwork. * Communicates with new residents within a reasonable timeframe of their move and coordinates all aspects of the move including a comprehensive orientation. * Team with construction project manager on new resident selections including availability of design options, ability to minimally customize and timing for completion. * Keeps Sales Manager fully informed of all progress and challenges. * Coordinate and complete special project assignments. * Regular and reliable attendance is an essential function of this job. MINIMUM QUALIFICATIONS * High school graduate or GED required. * Superior interpersonal and relationship building skills required. * Minimum of 3 years of experience as Administrative Assistant which includes customer service. * Professional presentation to others. * Ability to listen, interact and respond effectively with senior population. * Computer literacy including Microsoft Office suite and knowledge of CRM databases required.Village on the Isle
