Event Manager + Sales Coordinator LOCATION: Salthouse Catering 1740 Signal Point Road, Unit 200, Charleston, SC 29412 and Event locations throughout Charleston & surrounding areas DESCRIPTION Salthouse Catering is seeking individuals that are positive, reliable, efficient, and detail oriented to join our growing team. The position requires an understanding of catering business and must have exceptional people skills as well as possess the ability to effectively communicate with colleagues and clients. Additionally, this person must exercise considerable initiative, independent judgment, flexibility, and discretion in the performance of assigned duties. This is a full time hourly (non-exempt) position. The Event Manager is responsible for effectively and efficiently managing a team of servers to deliver and achieve superb event execution for clients. Duties include: In advance: Review Banquet Event Orders (BEOs) to familiarize yourself with details to include but not limited to timing, allergies/dietary restrictions, set up/equipment needs, and service notes. Review staffing issues with Operations Manager. Review event details sales manager if needed. Onsite: Greet onsite contact (venue, planner, client) upon arrival and review set up and any last-minute notes. Greet & direct any contracted vendors (bar + rentals) to include set up, timing and products. Review event rentals and resolve issues when missing equipment. Maintain time log for all employees. Manage the setup of event based on requirements. Delegate tasks to staff for set up. Conduct shift meetings and ensure all employees are in proper attire. Assess and manage staffing needs throughout shift for labor expense control. Serve as point-of-contact, communication and coordinating, between sales manager, client, and staff. Perform all closing duties from an event which includes checking out with venue contacts. Communicate with Operations Manager any staffing issues. The Sales Coordinator is responsible for supporting the Sales Team and will be in close and direct communication with the appropriate sales manager regarding events. Duties include: * Answer sales phone while in office. Take inquiry information and pass along to appropriate person. * Print weekly tasting menus and BEO's for all events. * Set tastings by pulling equipment for sales team based on office schedule. * Attend weekly BEO meetings to discuss event details with all departments. * Organize monthly AM-EX expense receipts. * Have general understanding of Spoonfed platform, and delivery/pick up services provided by company. * Provide weekly feedback to management team, or sooner as needed. * Assist Sales Department with functions to include, but not limited to: o Update and save rental & bar orders o 60 days out payment reminders and updating event related details. o 30 days out - assist with requesting & securing items from host or planner (layout, rentals, timeline, etc.) and put info in Caterease or event folder. o 2 weeks out - receive final guest count, send updated final invoice. o Assist with floorplan, and expo sheets, based on needs of event. o Confirm Tastings with Client (number of guests, address, etc), o Gather any necessary payment information from clients for appropriate sales person. POSITION REQUIREMENTS High school diploma or equivalent preferred Experience in catering preferred. Minimum of 2 years' experience in food and beverage. Must be able to maintain a stationary position for long periods of time Frequently move equipment onsite up to 40 pounds Occasionally must work in outdoor weather conditions Reliable source of transportation is a must due to events being throughout the Charleston area Willingness to work long hours, weekends, and holidays (when needed) Assist loading and unloading vehicles, as needed Additional skills and basic characteristics preferred include: * Excellent communication, organization, and time management skills * Mature, professional demeanor and image * Personable with a positive attitude * Self-starter that sets and accomplishes goals * Desire to learn and succeed * Team oriented, flexible * Values challenge, assertive and tenacious * Eye for detail and superior standards * Dedicated and trustworthy * Efficient, organized, effective * Creative, innovative, approachable, respectful, open-minded This is a Full Time Hourly (Non-Exempt) Position with the possibility of growing into Salaried Position.
