Full description of the position

Position Summary Herald Office is seeking a detail-oriented and highly organized Inside Sales Support & Quality Control Specialist to join our Charleston office. This full- time role combines two critical functions: * Inside Sales Support: Handling pre-sale communication, quoting, bid assistance, order preparation, and day-to-day support for our sales and design teams. * Quality Control: Serving as the technical accuracy checkpoint for commercial furniture drawings, specifications, and Bills of Materials prior to order placement. This position requires strong communication skills, exceptional accuracy, and the ability to manage multiple priorities while working closely with sales, design, project management, and operations. Inside Sales Support Responsibilities Pre-Sale Communication & Support * Serve as the primary internal contact for all pre-sale communication with customers and sales reps. * Gather project requirements, clarify product details, and ensure all information needed for quotes and bids is complete and accurate. * Provide professional, timely communication to support the sales process and set clear expectations up front. Quoting, Bids & Order Preparation * Prepare accurate quotes using pricing programs and specification data provided by the design team. * Work heavily with designers on large bids, RFP responses, state procurement opportunities, and multi-line packages. * Review bid requirements, confirm specification alignment, and support the assembly of final bid submissions. * Prepare preliminary order documents and ensure they are complete prior to final approval. Sales Team Coordination * Support outside sales representatives by helping organize bid documents, pricing, cut sheets, and customer-facing materials. * Assist with documentation, project organization, and internal communication as opportunities progress. Documentation & System Management * Maintain organized digital records for quotes, bids, pre-sale communication, and order preparation. * Coordinate with operations and design teams to ensure project details are documented accurately before handoff. Quality Control Responsibilities Drawing & Specification Review * Audit commercial furniture floorplans, elevations, specifications, and BOMs to verify: * Correct quantities * Proper components and finishes * Application accuracy * Manufacturer compliance * Installation requirements Discrepancy Resolution * Identify errors, inconsistencies, or potential issues before order placement. * Work directly with designers and project managers to correct discrepancies and strengthen design accuracy. * Provide clarity and recommendations to reduce mistakes and streamline the final documentation. Technical Knowledge & Documentation * Expand product knowledge across all manufacturer lines and specification platforms. * Maintain well-organized digital storage of reviewed documents and QC materials. * Recommend improvements in documentation, accuracy, and workflow efficiency. Skills & Competencies * Exceptional Accuracy: Ability to review detailed drawings, specs, and BOMs with precision. * Technical Proficiency: Strong Microsoft Office skills; comfortable learning new commercial furniture platforms. * Strong Communication: Clear, professional communication with customers, designers, and internal teams. * Collaboration: Works effectively with sales, design, project management, installation, and operations. * Analytical Thinking: Able to interpret complex information and identify inconsistencies. * Time Management: Capable of handling multiple projects and deadlines simultaneously. Qualifications * Associate's or bachelor's degree, OR 2+ years experience in commercial furniture, project coordination, or specification review. * Experience with commercial furniture specifications or bid work strongly preferred. * Inside sales, quoting, or pre-sale support experience is a strong advantage. * Solid computer literacy and willingness to learn new software platforms. Performance Metrics * Accuracy in pre-sale documentation, quoting, and specification review. * Speed and reliability in turning around quotes, bids, and QC audits. * Effective collaboration with design, sales, installation, and operational teams. * Professionalism and clarity in internal and customer-facing communication.
