OVERALL JOB RESPONSIBILITY: * Responsible for circulation and fulfillment house operations to ensure cost-effective, timely implementation of circulation policies and procedures for both print and digital products. * Assist Director on maintaining, developing and strengthening strategic circulation plans, analysis, retention, testing and creative initiatives. * Create, update, and analyze a variety of reports containing statistical data on circulation and marketing promotions and programs. * Work collaboratively with Production Director and in liaison with fulfillment house, magazine printer and the post office on effectively selecting, printing and distributing Trend's monthly and annual publications. KEY RESPONSIBILITIES: * Initiate the label selection criteria for each issue of Florida Trend; approve label counts and splits, including supplemental selections as needed. * Coordinate print order requirements, create print order and supply distribution instructions to printing plant for all print products. * Oversee multi-tiered renewal/invoice selections, production and mailing with lettershop vendor, including proofing and approve as needed. * Review, mark-up and code monthly production invoices for Audience Development expense. * Compile and analyze reports on circulation numbers, promotions and newsstand sale records. * Assist with monthly e-mail promotions, including selecting a targeted audience as needed for each type of promotion and work with Web team on set-up and deployment. * Manage all postage accrual accounts for projected outgoing/return postage as well as maintain postal reports and tracking expense for the monthly issues of Florida Trend and all annual publications. * Manage the corporate gift subscription program, including working with client on setting up creative schedules and oversee the printing of their various pieces. * Maintain back-up documentation for annual circulation/audience audit for all paid and controlled circulation. * Work with Advertising Coordinator and oversee copies needed for events and trade show distribution and coordinate shipping details. * Assist in providing customer service support for all Trend media products in an efficient manner, including handling comp sub requests from sales department. * Oversee annual project of replacing the controlled rosters and directory portion of circulation by acquiring the ~30 lists from various sources, formatting all lists to standard format for fulfillment vendor. * Coordinate all shipments with the printing plant, and maintain inventory on each issue, including the annual publications. * Create all circulation production and fulfillment schedules, including relevant schedules for vendors. * Prepare USPS Statement of Ownership, Management & Circulation annually. * Handle special projects and other responsibilities as needed. Assist with single/bulk copy sale payments, enter in billing system, ship copies and update reports for sales and circulation tracking on all Trend print products. * KNOWLEDGE, SKILLS and ABILITIES REQUIRED: * Highly developed interpersonal and communications skills; both written and oral * Bachelor's degree or equivalent industry experience. * Close attention to detail and good proofing skills * Display collaborative attitude to build positive working relationships with colleagues and vendors. * Highly detailed and organized; able to juggle multiple projects and flexible with changing priorities. * Demonstrated organization and time management skills * Problem solving/decision making capability. * Expert knowledge of Microsoft Office suite of programs. * Problem solving ability. * Participatiion in cross-training within the department to assure coverage for key tasks and functions as needed. WORKING CONDITIONS: * Light work, requiring standing, walking or sitting. * Occasional lifting, carrying, or shipping magazines up to 25lbs. * Duties are performed in a general office environment with frequent deadlines. * Work interruptions are common. * Occasionally may be required to work irregular hours or hours outside of normal office hours.
