Job Summary We are looking for a meticulous and proactive Detail Specialist to work closely with clients before their event to finalize every aspect of their event planning from the venue side. This role is ideal for someone who thrives in a fast-paced environment and has an eye for detail. The ideal candidate will work directly with clients to ensure their event details are aligned with their vision and are ready for seamless execution. Responsibilities * Provide support to sales by equipping them with the tools, resources, and administrative assistance needed to streamline processes, improve efficiency, and ensure seamless customer experience. * Collaborate with clients to confirm and finalize event details, including venue logistics, vendor arrangements, timeline creation, and guest management. * Maintain detailed communication with clients to ensure their vision is reflected in all event planning decisions. * Coordinate with vendors to ensure all details are aligned with the client expectations and requirements. * Review and manage all contracts and payments * Create, update, and distribute detailed banquet event orders to ensure smooth execution and minimal stress for clients. * Provide ongoing support for clients, answering questions and troubleshooting issues leading up to the event. * Assist in managing any last-minute changes, ensuring adjustments are made with minimal impact on the event's overall plan. * Ensure high-quality customer service, addressing client concerns and requests promptly and professionally. * Track progress of planning tasks and ensure all deadlines are met according to agreed timelines. * Qualifications Proven experience in event planning, preferably in the wedding industry. * Excellent organizational, time-management, and multitasking skills. * Strong attention to detail with an ability to manage multiple events and their details. * Exceptional communication and interpersonal skills, with the ability to work closely with clients and vendors. * Ability to work under pressure and handle unforeseen challenges with professionalism and composure. * Proficiency in event planning software and tools (e.g., Caterease, Excel, Word). * Flexibility with schedule to work both weekdays and weekends (weekends required).
