We are a fast-paced Plumbing and HVAC company seeking a highly motivated, dependable, and organized Office Coordinator to manage customer communication, sales, and scheduling. This position is for someone who thrives on responsibility, takes initiative, and treats the business as their own. You'll be the first point of contact for new and existing clients, helping drive sales and ensuring every job runs smoothly from estimate to completion. Key Responsibilities: * Answer incoming calls and respond promptly to customer inquiries. * Make outbound calls to schedule estimates, follow-ups, and new service appointments. * Conduct virtual estimates by phone, text, or email -- and close sales when appropriate. * Track active jobs, coordinate with technicians, and keep clients updated on progress and ETAs. * Manage property management portals -- accept work orders, upload job documentation, and submit invoices after completion. * Maintain daily accountability on all open jobs and pending leads. Requirements: * Strong communication skills -- confident speaking with homeowners and property managers. * Excellent organizational and multitasking ability. * High level of professionalism, reliability, and personal accountability. * Comfortable using job tracking software, email, and text-based communication. * Experience in a service or trades business (HVAC, plumbing, electrical, etc.) is a plus. * Bilingual (English/Spanish) preferred.
