We are seeking a Sales Admin / Bid Coordinator to join our team and support our fast-paced sales and estimating department. Position
Overview
The Sales Admin / Bid Coordinator is responsible for coordinating bid submissions, ensuring accuracy in proposals, and supporting the sales and estimating team. This role is critical in helping AFS stay competitive by ensuring bids are submitted on time, error-free, and with professionalism. You will act as the central hub between sales leadership, estimators, and clients -- keeping projects organized, deadlines tracked, and proposals polished.
Key Responsibilities
- Manage and track multiple bid deadlines, ensuring all submissions are complete and on time.
- Format, proof, and finalize proposals and bid documents for client delivery.
- Coordinate with estimators and sales leadership to gather required information.
- Follow up with vendors, clients, or general contractors for clarifications or missing details.
- Working inside Bid Portals to submit bids for relevant projects.
- Maintain organized records of bids submitted, deadlines, and outcomes.
- Ensure accuracy in pricing, scope details, and compliance with bid requirements.
- Support sales leadership with CRM updates, reports, and administrative tasks.
- Prepare and distribute internal bid schedules and progress updates.
Qualifications
: Required:
- Strong organizational skills with ability to manage multiple priorities and deadlines.
- High attention to detail and accuracy in written documents.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook); experience with CRMs a plus.
- Ability to coordinate across multiple departments and manage information flow. Preferred:
- Experience in construction, contracting, or related industry.
- Familiarity with bid platforms (government portals, general contractor systems).
- 2+ years in an administrative, coordinator, or bid-related role. Job Type: Full-time Pay: $18.00 - $25.00 per hour Expected hours: 40 per week Work Location: In person
