Front Desk Coordinator / Patient Care Concierge Boutique Aesthetic Medical Practice - Mill Valley, CA Experience Required Inner Image, a well-established and highly regarded boutique aesthetic medical practice located in Mill Valley, is seeking an EXPERIENCED Front Desk Coordinator / Patient Care Concierge to join our team. Position Overview As our Front Desk Coordinator / Patient Care Concierge, you will be the welcoming face of our practice. You will guide patients through their visit from initial contact to check-out, while supporting treatment planning, patient education, administrative operations, and skincare sales. We are seeking a warm, polished, and knowledgeable professional who thrives in a fast-paced medical environment and is passionate about delivering an elevated patient experience. This role is ideal for someone who enjoys both patient interaction and operational responsibilities, including software utilization, inventory oversight, protocol implementation, and contributing to smooth daily workflow. Applicants without relevant experience in a medical or aesthetic environment will not be considered. Key Responsibilities * Provide a warm, professional, and seamless front office experience, including patient intake, scheduling, phone and online communication, and check-out. * Educate patients on treatment expectations, preparation instructions, and post-procedure care. * Deliver outstanding customer service to support long-term patient relationships. * Manage patient education and treatment planning through our digital Patient Concierge system. * Oversee scheduling, EMR documentation, online sales, prescription processing, and point-of-sale transactions. * Navigate multiple software platforms for patient management, sales, and financial tracking. * Assist with inventory management and operational workflow. * Participate in all in-house training and continuing education opportunities. Essential Skills and Qualifications * Excellent interpersonal and communication skills. * Technologically savvy and proficient with Word, Outlook, basic Excel, and Microsoft Teams. * Strong experience with medical practice software. Preferred systems include TouchMD, SpaKinect, DermPro, Nextech, and Demandforce. * Highly organized and detail oriented. * Ability to anticipate provider and medical assistant needs. * Strong analytical and problem-solving skills. * Friendly, positive, and professional demeanor. * Ability to work independently and as part of a collaborative team. * Strict adherence to HIPAA and patient confidentiality. * Reliable, flexible, and committed to high-quality work. * Self-motivated and able to thrive in a busy environment. * Interest in beauty, aesthetics, and skincare. * Commitment to ongoing learning and improvement. Education and Experience * College degree or equivalent experience. * Minimum of 3 years of experience in a medical setting preferred. Candidates with slightly less experience may be considered if exceptionally qualified. This is not an entry-level position and requires the ability to work independently. Work Schedule * Full-time position, Monday through Friday. Shifts are 8 hours between 8:30 AM and 6:00 PM depending on practice needs. * Weekends and major holidays off. * The practice is typically closed between Christmas and New Year's Eve.
