(National Medspa Program | Multi-Partner Network) Location: Remote (USA) Employment Type: Full-time Industry: Aesthetics Medspa Beauty Tech Healthcare Marketing About the Role We operate a national, brand-led patient acquisition program for Medspas across the United States. While each partner medspa operates under its own brand, calendar, CRM, and EMR , all patient-facing policies, standards, and expectations are unified under our national program. Inbound leads arrive through paid ads, landing pages, social media comments and direct messages. Our team speaks directly with prospective patients, qualifies interest, answers high-level questions, books appointments directly inside partner medspa systems , and manages cancellation and refund requests in accordance with national policy. This role requires someone who can adapt to different calendars and workflows while consistently representing one program, one experience, and one standard of professionalism across many partner brands. Key ResponsibilitiesInbound Lead Conversion (Phone, Text, Email & Social) * Respond promptly to inbound leads generated through national paid advertising campaigns. * Communicate with prospective patients via phone, SMS, email, and social media DMs. * Monitor and respond to paid ad comments and messages using approved, brand-safe language. * Move interested prospects from public comments into private conversations and booked appointments. * Understand patient goals, concerns, and basic eligibility (without providing medical advice). * Educate prospects on the treatment concept in clear, consumer-friendly language. * Guide qualified patients toward the appropriate next step (consultation or treatment booking). Appointment Scheduling Across Multiple Partner Brands * Schedule appointments directly inside partner medspa CRM and EMR systems. * Adapt quickly to different partner calendars, providers, treatment durations, and booking rules. * Respect each partner's operational constraints while enforcing national booking standards. * Collect and confirm required booking details (contact info, deposits, intake steps). * Ensure appointments are booked accurately and placed correctly on live calendars. Cancellation, Refund & Retention Handling (National Policy) * Handle patient cancellation and refund requests according to unified national policies , regardless of partner brand. * Clearly explain policy terms, timelines, and available options. * De-escalate concerns while protecting partner revenue and calendar integrity. * Offer approved alternatives when appropriate (reschedules, credits, future bookings). * Escalate edge cases using defined internal guidelines, not improvisation. Social Media Comment & DM Management * Respond to paid ad comments professionally while representing both the national program and partner brands appropriately. * Move public inquiries into private conversations quickly and respectfully. * Identify buying signals, objections, and intent within comments and DMs. * Flag sensitive or off-script inquiries when escalation is required. Patient Experience & No-Show Prevention * Set clear expectations around appointment type, arrival timing, deposits, prep, and next steps. * Reinforce appointment value to reduce cancellations and no-shows. * Ensure patients feel informed, respected, and confident--even when policies are firm. * Maintain consistent professionalism across all partner brands. CRM Hygiene, Follow-Up & Documentation * Log all conversations, bookings, cancellations, and refund outcomes accurately. * Maintain clean, auditable records across multiple systems. * Support reporting, quality control, and partner transparency. Internal & Partner Coordination * Work closely with internal operations and client services teams. * Communicate recurring patient objections, scheduling friction, or workflow issues. * Adapt quickly to partner differences while maintaining national standards. * Participate in weekly performance, quality, and optimization meetings. Qualifications * 2+ years experience in B2C sales, patient intake, appointment scheduling, or inside sales. * Hands-on experience working inside medspa or healthcare CRMs/EMRs strongly preferred. * Comfortable navigating multiple calendars, brands, and workflows simultaneously. * Strong written and verbal communication skills across phone, text, email, and social media. * Calm, professional demeanor - especially during cancellations or refund conversations. * Highly organized with strong attention to detail. * Tech-comfortable and quick to learn new systems. CRM / EMR Experience (Big Plus) Experience with: * Medspa CRMs * Practice management or EMR platforms * Provider-based scheduling environments * Deposit-based booking and refund workflows (If you've ever managed ten+ calendars while keeping the owners happy & satisfied, you're our kind of person.) What Success Looks Like * Appointments are booked accurately across multiple partner brands and systems. * National policies are enforced consistently without damaging trust. * Cancellations and refunds are handled professionally and predictably. * Partner calendars remain clean, respected, and revenue-productive. * Patients feel supported, informed, and confident. * Partner medspas trust the national team to represent them well.
