Full description of the position
We are seeking a highly organized and detail-oriented Real Estate Transaction Coordinator to manage and oversee real estate transactions from contract to close. The ideal candidate thrives in a fast-paced environment, communicates clearly with clients and partners, and ensures every file is compliant, accurate, and on schedule. This role is critical to delivering a smooth and professional experience for our buyers, sellers, agents, and partners. Transaction Coordinator Job duties and Responsibilities Job duties & responsibilities as described but not limited Manage real estate transactions from executed contract through closing Review contracts for accuracy, completeness, signatures and compliance Coordinate timelines, deadlines, and contingency removals Send out disclosures out for signatures based on timelines Communicate with buyers, sellers, agents, lenders, escrow/title, and inspectors Track required documents and ensure files are complete Upload and manage documents in transaction management systems Order inspections, and home warranties as needed Monitor escrow milestones and follow up to keep transactions on track Prepare files for closing and assist with post-closing documentation Maintain organized digital records and reports Create and manage transaction timelines and checklists Track contingencies, appraisal deadlines, loan approvals, and closing dates Send reminders and follow-ups to all parties to avoid delays Coordinate extensions and amendments as needed Get status updates from Loan Officers on loan status and conditions Maintain and update CRM or transaction management platforms Assist leadership with transaction-related status Provide exceptional customer service throughout the transaction process Receptionist-Admin/TC Assistant Expectations * Must be bilingual, Excellent organizational and time-management skills, Ability to manage multiple transactions simultaneously, Experience with transaction management platforms (e.g., Skyslope) but not required, Self-motivated, dependable, and proactive Preferred Skills Requires a high school diploma or its equivalent with 1-2 years of experience in the field or in a related area. Must be fluent in English & Spanish, speak English clearly in person and on the phone Strong understanding of real estate contracts and timelines Microsoft office; word, Excel, CRMLS, Must be energetic, approachable and reliable Strong phone etiquette Should be familiar with the basic use of office equipment such as computers (for email, internet), printers, scanners, copiers Pay: $18.00 per hour Benefits: * Paid time off Work Location: In personExcellence Premier Real Estate
