Job Description Commercial Properties, Inc. has been managing commercial buildings and associations in the Metropolitan Phoenix area since 1981. We currently manage over 200 properties (industrial, office, retail and associations) totaling more than 12 million square feet. The Portfolio Manager is responsible for maintaining strong client/landlord relationships and to represent the client/landlord in all day-to-day aspects of building ownership. A CPI Portfolio Manager is highly involved with all aspects of managing a portfolio of commercial properties, while also providing the necessary training, support and guidance to property managers, partnering with accounting representatives, and leasing agents to deliver the highest service possible to our clients. Scope of the job includes tenant relations, capital project bidding, vendor bidding, selection and coordination, property maintenance, physical inspections, T.I. oversight, collections, financial reporting, approving and enforcing lease provisions, maintaining lease files, and various accounting/administrative tasks. Responsibilities * Provide comprehensive support to property owners/clients, including monthly financial reports, annual budgets, CAM reconciliations, tenant support, etc * Monitor, coordinate and oversee the interior and exterior maintenance as required, including budget approval, scope of work, bids, project management, and working with vendors through completion of work, lien management, and payment processing * Build and maintain tenant relationships, including rent collection, improvement projects, and move-ins/move-outs * Coordinate and/or manage tenant improvement projects, ensuring that all work is approved by property owners and within the lease agreements * Prepare all annual property budgets and CAM reconciliations * Coordinate with listing agents on new leases and lease renewals Skills/Requirements * Active and current Arizona Real Estate License * Minimum of 5 years of commercial property management experience * Exceptional organizational skills are critical for success in this role * Effective oral and written communication skills * Working knowledge of accounting and finance as it relates to Property Management * Proficiency in MS Word, Excel, Outlook, Teams and general computer/office technology * Experience with Yardi/Payscan is strongly preferred. * A BA/BS degree is preferred * Responsive, friendly, positive attitude towards clients, tenant, vendor and coworkers. * Prior supervisory or managerial experience is a plus, as you may be responsible for directing a small team of property managers that support your portfolio. ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned). Portfolio Oversight & Operational Leadership * Possesses business acumen and understands underlying fee structures and profitability needs for your assigned portfolio. * Draft and manage professional correspondence and maintain organized records. * Oversee insurance certificate compliance for tenants and vendors. * Serve as primary point of contact for calls and visitors, ensuring efficient communication. * Prepare and distribute monthly financial and statistical reports with executive-level narratives. * Monitor utility usage and conduct monthly property inspections, delivering detailed site reports. * Ensure property checklists are consistently updated and accurate. Accounting Oversight Accounts Receivable * Lead annual CAM reconciliations and budgeting processes. * Review monthly postings, approve adjustments, and ensure timely submission of rent rolls and financial reports. * Collaborate with Property Managers to resolve tenant account discrepancies. Accounts Payable * Approve invoices and review financial packages prior to owner distribution. * Manage vendor and tenant disputes with professionalism and accuracy. Lease Administration * Abstract new and renewal leases and ensure accurate data entry into Yardi. * Process all tenant documentation promptly and accurately. General * Maintain proactive communication with leadership regarding issues, changes, and owner requests. Individual must be confident in their knowledge and experience to make difficult decisions with the ability to explain and enforce those decisions. The job also requires a great deal of flexibility, adaptability and versatility - quickly moving from situation to situation, shifting priorities, and calmly handling distractions. The ability to multitask is key. Above all, this individual must enjoy working with people and find satisfaction in helping our clients, tenants and peers.
