JOB SUMMARY AND PURPOSE OF THE JOB: The Amenity Manager Role "Team Member (TM)" oversees the clubhouse facility during the hours set by the Board of Supervisors and provides excellent customer service to residents. The Amenity Manager also provides exemplary service in a manner consistent with the values and mission of the assigned District and/or GMS. He or she performs all responsibilities while demonstrating outstanding customer service skills as it relates to this function. This includes working interdepartmentally, as well as, with our external customers. PRIMARY RESPONSIBILITIES AND DUTIES include but are not limited to the following: Oversee day to day operations of the amenity facilities. This includes: o Daily inspection of the facilities o Ensure the facilities are in proper working order o Ensure the facilities are aesthetically pleasing Enforcement of applicable amenity rules New resident orientation. This includes: o Welcoming new resident(s) to the community o Providing new resident information such as hours of operation, management contact information, community information o Answer new resident inquiries Respond to all resident requests and complaints regarding the community. This includes: o Educating the residents on District responsibilities o Educating the residents on any District facility rules and/or regulations o Research who may be the correct contact person if the issue is not related to a commonly maintained area o Consider resident ideas regarding the District and present recommendations to the Board of Supervisors where applicable o Assist resident with any complaints and make all possible attempt to address Issue resident facility access cards to residents in order for them to access the facilities where applicable. This includes: o Verification of residency o Collection of applicable payments o Activation/ deactivation of access cards o Provide amenity facility policies to card holder o Maintain listing of access cards issued through a trackable method whether through software or a spreadsheet For the safety of the community, the Amenity Manager is responsible for coordinating closure of any common areas when necessary, such as approaching storms, construction or any other event that could pose a danger. Create and distribute a monthly newsletter to the community to include pertinent community news, service schedules, community event details, event reminders, and meeting announcements. Maintaining a positive relationship with both residents and vendors Prepare monthly report for District Meetings Attend District Meetings and present monthly report to Board of Supervisors, District Manager, Staff and any other meeting attendees Inspect common areas with the Field Manager when applicable Assist residents with renting the clubhouse or any other rentable space for their personal events. This includes: o Maintaining a calendar of the reservation dates o Arranging paperwork for resident to fill out o Issuing a confirmation letter to residents for their reserved date o Educating the resident on rental rules o Obtain any necessary licenses and/or insurance certificates when applicable o Obtaining payments and deposits for the rental from the resident o Inspection of the facilities prior to and after the scheduled event o Returning deposit checks where applicable Coordinate repairs for any common areas maintained by the District. This includes: o Identifying any damages o Obtaining a proposal where applicable o Schedule repairs o Supervise repairs o Confirm repair was acceptably completed Coordinate and host community events. This includes: o Maintaining an events calendar o Preparation and distribution of event invitation to the community o Control RSVP list when applicable o Collect payments for events requiring a cover charge o Coordinate any event vendors such as catering companies, food trucks, bounce houses, etc. o Purchase all necessary supplies for each event o Coordinate management team staffing necessary for a successful event o Host event (the Leisure Activities Coordinator is authorized to host any event without the Amenity Manager, where applicable) o Close and clean up event Maintain sufficient office, kitchen, cleaning and any other general supplies in order to operate the facilities Update the community bulletin board monthly and as needed Solicit competitive bids from vendors for services, repairs, inventory, etc. Assist District manager during budget season to contribute with proposals and increases. SUPERVISORY RESPONSIBILITIES AND DUTIES: Supervision of contracted vendors to ensure they are fulfilling their contractual duties. Strong Attention to Detail Superior Communication, Writing, and Organizational Skills Self-Motivated, Able to Meet Pressing Time-Sensitive Requirements Demonstrates a commitment to the District and/or the GMS organization's philosophy of high quality, professionalism, and organizational culture English is required. Bi-lingual (Spanish and English) a plus. Multiple language fluency is desirable Must be able to read and write. Demonstrate excellent communication skills both verbal and written. Possess the ability to follow written and verbal directions. Must be at the legal required age. Must possess computer literacy skills with intermediate command of computer hardware/software required. For some District clients, CPR certification is a requirement of this position; the hiring manager will share this required if needed. For those Districts that require this certification, if the TM is not CPR certified it will be necessary that the TM obtains the certifications within 3 months, it is the obligation of the TL to make sure the TM gets schedule to receive the proper training and the certification. Most be a team player as all the functions will require to interact with other team members. Ability to successfully completed mandatory training (Online and/or in person) WORK ENVIRONMENT: The physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions. May be requested to work overtime and weekends for special program events. PHYSICAL DEMANDS: Ability to lift up to 40 lbs. work in an upright standing or sitting position for long periods of time. Handle, grasp and lift objects and packages. Reach with hands and arms. Communicate, receive and exchange ideas and information by means of the spoken and written word. Ability to quickly and easily navigate the property/building as required to meet the job functions. Complete all required forms. TRAVEL AND AVAILABILITY REQUIREMENTS: May be required to travel for training sessions off-site on an ad-hoc basis. May be occasionally required to cover assignments for front desk staff when needed. Ability to work extended hours and weekends based on scheduling needs. EDUCATION AND EXPERIENCE QUALIFICATIONS: Entry-level position. High School diploma or equivalent. One (1) or Two (2) years of front desk or clubhouse attendant experience is preferred. Strong customer service skills are required. Effective verbal and written communication skills.
