Licensed Transaction Coordinator & Client Experience Manager Full-Time | Cincinnati, OH About the Team We are an established, high-producing real estate business actively building a team. Our work focuses on helping first-time buyers and families find homes they can grow into long-term, and our approach is relationship-driven, client- first, and grounded in trust, organization, and care. About the Role We are seeking a licensed real estate professional to serve as a Transaction Coordinator & Client Experience Manager for a high-performing agent transitioning into a team-based model. This role is the operational backbone of the business, responsible for ensuring smooth transactions, exceptional client care, and consistent execution of ongoing engagement initiatives. This is not a traditional assistant role. The ideal candidate is highly organized, proactive, detail-oriented, and motivated by being part of a growing team from the ground up. Over time, this role will evolve into a leadership position supporting additional team members as the business scales. Core Responsibilities Transaction Coordination * Manage all contract-to-close processes for buyer and seller transactions * Prepare, review, and submit contracts, disclosures, and amendments * Track deadlines and ensure brokerage and state compliance * Coordinate with lenders, title companies, inspectors, and agents * Maintain complete and accurate transaction files * Proactively communicate updates and resolve issues * Ensure clean, on-time closings with minimal agent involvement * Prepare CMAs and listing presentation materials Client Experience & Engagement * Manage recurring client touchpoints (birthdays, anniversaries, past-client outreach) * Plan and assist with client events and appreciation initiatives * Maintain and execute the client engagement calendar Marketing, Operations & Systems * Assist with buyer/seller guides and process manuals * Maintain brand consistency across materials * Keep CRM records accurate and up to date * Ensure workflows and systems are followed consistently * Identify inefficiencies and recommend improvements * Assist with onboarding and training future support staff Limited Showing Support (Secondary) * Provide occasional licensed showing coverage as needed * Assist with scheduling and serve as a client contact when the agent is unavailable (Showing will be limited and not a primary responsibility.) Schedule & Expectations * Full-time role, primarily weekday business hours * Some flexibility required; limited evenings/weekends * Strong emphasis on proactive planning and time management Qualifications Required * Active Ohio and/or Kentucky real estate license or willingness to obtain license within 60 days * Strong attention to detail and communication skills * Ability to manage multiple transactions simultaneously * Organized, dependable, and solutions-oriented Compensation * Base Salary: $40,000-$50,000 (based on experience) * Transaction Bonus: $200 per closed transaction * Showing Pay: Paid per showing as needed * On-Target Earnings: $60,000-$75,000 annually Why This Role? * Work closely with a top-producing agent in a structured environment * Be a key operator in a growing real estate business * Opportunity for leadership growth over time * Predictable responsibilities with room for creativity and ownership This role is ideal for someone who thrives behind the scenes and takes pride in delivering an exceptional client experience.
