Position Summary The Assistant Sales Production Manager supports the Sales Production Manager in overseeing daily mortgage production activities, managing pipeline flow, and ensuring loan files progress efficiently from application through closing. This role serves as a key liaison between Loan Officers, processors, underwriting, and closing teams, while helping drive production goals, improve pull-through rates, and maintain a high level of customer experience. Key Responsibilities Pipeline & Production Management * Assist in managing the active loan pipeline to ensure timely movement through all milestones. * Monitor file status, aging reports, and deadlines; proactively identify and resolve bottlenecks. * Support escalation management for stalled or complex files. * Ensure files meet internal, investor, and regulatory guidelines prior to submission and closing. Sales & Loan Officer Support * Provide daily support to Loan Officers to help maximize productivity and close ratios. * Assist with onboarding and ongoing support of new Loan Officers. * Help communicate production goals, expectations, and deadlines. * Serve as a point of contact for questions related to file status, conditions, and closing timelines. Coordination & Communication * Act as a liaison between sales, processing, underwriting, closing, and secondary teams. * Facilitate clear and consistent communication across departments. * Participate in pipeline meetings and provide accurate production updates. Reporting & Performance Tracking * Assist in preparing pipeline, production, and performance reports. * Track key metrics such as pull-through rates, cycle times, and closing percentages. * Help identify trends and recommend process improvements to increase efficiency. Client Experience & Quality Control * Support a positive borrower experience by ensuring timely communication and issue resolution. * Assist in handling borrower or partner escalations when needed. * Help ensure quality control standards are met and reduce post-closing conditions or errors. Process Improvement & Compliance * Assist in maintaining compliance with company policies, investor guidelines, and regulatory requirements. * Help document and improve production workflows and best practices. * Support audits and internal reviews as requested. Required Experience & Qualifications * 3+ years of mortgage industry experience , preferably in loan processing, pipeline management, sales support, or operations. * Strong working knowledge of the mortgage loan lifecycle from application to funding. * Experience working with Loan Officers and production teams. * Familiarity with LOS systems (e.g., Encompass, Calyx, or similar). * Strong organizational and time-management skills with the ability to manage multiple priorities. * Excellent written and verbal communication skills. * Detail-oriented with strong problem-solving abilities. Preferred Qualifications * Prior experience in a supervisory, lead, or assistant management role. * Knowledge of FHA, VA, Conventional, and Non-QM loan products. * Experience with pipeline reporting, KPI tracking, or performance analytics. * NMLS license (preferred but not required, depending on role structure).
