This role exists because the company has reached the point where money, clients, and execution can no longer depend on the founder's attention. Role Summary This is not a traditional Executive Assistant role. This role owns the financial, sales, and client follow-through systems of the business so nothing slows down, drops, or escalates unnecessarily to the founder. You act as the day-to-day owner of: * P&L visibility and financial execution * Top-of-funnel sales follow-up and CRM discipline * Client onboarding and experience from first contact through billing * Invoicing, AR, AP, and cash flow execution * Project-level financial tracking and forecasting * Internal financial coordination for engineering and operations If something touches money, sales follow-up, forecasting, invoicing, payables, or client handoff , you own it. Core Ownership Areas 1. Financial Ownership & P&L Visibility (Primary) You fully own day-to-day financial operations and clarity. This includes: * Ongoing P &L ownership and accuracy * Visibility into cash position and trends * Ownership of payroll execution and review * Ownership of accounts payable , ensuring vendors are paid correctly and on time * Ownership of invoicing, AR, and payment follow-up * Ownership of the accounting inbox and financial communication * Ensuring financial data is clean, current, and actionable 2. Revenue Operations & Top-of-Funnel Follow-Through You ensure no opportunity stalls due to delay or lack of follow-up. This includes: * Owning inbound lead follow-up from website and HubSpot * Calling and emailing warm leads quickly and consistently * Ensuring every lead has a clear next action * Booking meetings without Matt chasing or coordinating * Maintaining CRM discipline with zero stale deals * Coordinating with marketing, HubSpot workflows, and WordPress as needed 3. Client Experience & Onboarding You own the client journey from first contact through a clean project start. This includes: * Managing client onboarding from PO to kickoff * Sending and tracking W9s, ACH or wire details, intake forms, and onboarding materials * Setting clear expectations around billing and milestones * Ensuring smooth handoff from Sales to Engineering and Operations * Acting as the primary point of contact for billing clarity and follow-through 4. Project Accounting, Forecasting & Internal Coordination You provide financial visibility across active work. This includes: * Tracking financial performance at the project level * Maintaining revenue and cash flow forecasts * Understanding when money should arrive versus when it does * Identifying drift early and surfacing issues * Creating TOs (task orders / time orders) for engineers so work can begin without delay * Coordinating financial inputs needed by engineering and operations to keep projects moving Tools You 'll Use * QuickBooks (P&L, invoicing, AP, AR, project accounting) * HubSpot (CRM, pipelines, follow-ups, dashboards) * Microsoft 365 (Outlook, Teams, OneDrive) * ADP (Payroll - training provided) * Calendly * AI tools such as ChatGPT, Plaud.ai, Fireflies, and Zapier Required Experience & Qualifications This role is a fit if you bring some combination of the following: * 2 -7 years experience in one or more of: Executive Assistant, Sales Operations, Revenue Operations, Client Operations, Accounting or Controller support * Experience working closely with a founder or executive * Comfort owning follow-up, money, and decisions * Hands-on experience with: CRM systems (HubSpot preferred) * Invoicing, AR, and AP * Basic accounting or financial operations * Strong written and verbal communication * Ability to operate independently and exercise judgment Education (preferred): * Degree in Business, Finance, Accounting, Marketing, Operations, or related field Job Type: Full-time Pay: $65,000.00 - $85,000.00 per year Benefits: * 401(k) matching * Health insurance * Paid time off Work Location: In person
