We are seeking a dynamic and detail-oriented Sales Support Associate to join our team at Atlas Event Rental. This role is crucial in providing administrative and operational support to the sales team while ensuring a smooth client experience from inquiry to event execution. Key Responsibilities: * Assist outside sales representative with all inquiries and order entries. * Maintain accurate records of sales transactions, rental contracts, and client communications. Update and track sales databases and CRM systems. * Assist in creating and processing rental contracts and orders for events, ensuring all items and services are correctly documented. * Assist the sales team with preparing proposals, quotes, and invoices. Ensure customer information and signatures are recorded accurately. * Follow up with clients as needed to confirm orders and finalize details * Maintain daily contract files * Provide logistical support for event setups and breakdowns, ensuring timely delivery and pickup of rental items * Collect deposits and payments * Update and call the overdue list daily and alert the supervisor of any overdue contracts * Respond to client inquiries through various channels (phone, email, in-person), providing detailed product information, availability, and pricing. * Assist clients with product selection, offering recommendations based on event needs. * Follow up with clients to confirm event details, including rentals, timelines, and special requests. * Create, process, and maintain rental contracts, ensuring the accuracy of rental items, pricing, delivery details, and special terms. * Address client concerns and resolve issues related to rentals, ensuring high levels of customer satisfaction * Update and manage customer records in Part Track. * Provide administrative support by preparing quotes, proposals, and invoices for clients. * Coordinate with warehouse and operations teams to ensure availability of rental items for upcoming events. * Process orders, ensuring the correct items are included in rental agreements and facilitating delivery/pick-up logistics. * Work with clients to ensure all event requirements are met (e.g., table and chair counts, linen selections, decor items). * Liaise with the operations and logistics teams to resolve any on-site issues or last-minute changes. * Maintain positive relationships with existing clients by following up on post-event feedback and addressing any issues or concerns. * Ensure customers' rental experience is smooth and meets expectations, helping to drive repeat business and referrals. * Handle client complaints or concerns in a professional and timely manner, working toward a resolution. * Process payments, refunds, and billing discrepancies in a timely manner. * Assist in organizing and maintaining files for rental contracts and client communications. * Work closely with other departments (warehouse, operations, logistics) to ensure seamless execution of events. * Communicate effectively with the sales team regarding client needs and event logistics. * And any duties assigned by upper management Qualifications: * High school diploma or equivalent (Associate's degree or higher is a plus). * 1-2 years of experience in sales support, customer service, or event planning. * Strong communication skills, both verbal and written. * Detail-oriented with strong organizational skills. * Ability to manage multiple tasks and deadlines effectively in a fast-paced environment. * Basic knowledge of event rental products (e.g., tables, chairs, linens, AV equipment) is a plus. * Familiarity with CRM software or order management systems is beneficial. * A customer-centric attitude and ability to resolve issues professionally.
