Description: Position Overview: The Agent Assistant plays a critical role in supporting a high-performance Real Estate Sales Professional. This role is designed to manage the fast-paced nature of real estate transactions, overseeing the entire sales process from start to finish. The Assistant will ensure that all details are handled efficiently and provide essential behind-the-scenes administrative support. Primary Responsibilities: 1. Transaction Coordination: * Manage and track transactions from lead generation to closing. * Maintain and update transaction timelines, ensuring all forms and documentation are prepared and filed properly. 2. Listing Inventory Management: * Input new property listings and update existing ones, including uploading media (photos, virtual tours, etc.). * Order home warranties as needed for new listings. 3. Client Interaction: * Collect necessary materials and information from clients to list properties effectively. * Schedule property showings and coordinate related activities (e.g., open houses). 4. Liaison Role: * Act as the point of contact between the Real Estate Sales Professional and external partners, including attorneys, lead generation services, marketing teams, and media outlets. 5. Contract & Process Supervision: * Ensure contracts are processed efficiently from initiation to closing, keeping track of all deadlines. * Monitor the progress of sales processes to ensure timely completion and smooth execution. 6. Customer Service: * Provide exceptional customer service to inbound leads, facilitating communication between sales professionals and clients to ensure a seamless experience. 7. Administrative Support: * Provide additional administrative support across all areas related to the sales process as needed. Skills & Abilities: * Communication: Strong verbal and written communication skills are crucial for interacting with clients, colleagues, and external partners. * Organization: Ability to manage and prioritize multiple tasks simultaneously, while maintaining a high level of attention to detail. * Proactivity & Problem Solving: Anticipate challenges and address them before they become issues. * Tech-Savvy: Proficiency in office technology (Microsoft Office, Google Workspace, CRM systems). * Customer-Focused: Ability to provide excellent customer service and effectively manage client relationships. Education & Experience: * Education: High school diploma or equivalent required. * Experience: While real estate industry experience is preferred, it is not mandatory. Strong administrative or project management experience is also valuable.
