Job Title: Assistant Sales Administrator Company: Indigo Wild Industry: Consumer Packaged Goods (CPG) - Soap, Personal and Home Care Products Location: Kansas City, MO - Onsite in office daily Job Type: Full-Time About Us: Indigo Wild is a leading provider of high-quality soap, personal and home care products in the CPG industry. As we continue to grow, we are looking for a detail-oriented and proactive Assistant Sales Administrator to support our sales team and ensure smooth operations. Position Overview: The Assistant Sales Administrator plays a key role in supporting the Sales Administrator and the sales team by assisting in managing administrative tasks, coordinating customer orders, maintaining sales data, and assisting with communication between internal departments and clients. This position is ideal for someone highly organized, detail-oriented, and eager to contribute to a dynamic sales environment in the CPG industry. Key Responsibilities: Sales Support & Administration: * Assist the Sales Administrator and sales team with order processing, invoicing, and tracking shipments. * Maintain accurate records of sales transactions, pricing, and promotions. * Coordinate with production, logistics, and customer service teams to ensure timely order fulfillment. * Prepare sales reports, forecasts, and presentations using Netsuite software and Excel. * Manage and update customer databases, including new account setup and changes. * Maintain and edit order forms and pricing lists as products are added, discontinued, or updated. * Manage credit memos and quality cases within NetSuite. Inventory & Product Samples: * Own the management of non-inventory items, including weekly physical counts, tracking in Excel, and ordering directly or coordinating with other departments. * Manage and track samples and car stock for the sales team. Customer & Vendor Communication: * Serve as a point of contact for customers regarding order status, pricing, and product availability. * Handle customer inquiries and provide support for sales representatives. * Assist in preparing and processing sales contracts, proposals, and agreements. * Communicate with retail partners, distributors, and wholesalers to support sales operations. Marketing & Sales Coordination: * Support the execution of trade promotions, discounts, and special offers. * Add sales promotions and events to the team calendar and continue managing the deductions process. * Assist in organizing sales meetings, trade shows, and product launches. * Create and update monthly sales trackers. * Gather competitive market research and provide insights to the sales team. Qualifications & Skills: * Experience in a sales support, administrative, or customer service role (preferably in the CPG industry). * Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software (e.g., Salesforce, NetSuite, HubSpot). * Strong organizational skills with attention to detail and accuracy. * Excellent written and verbal communication skills. * Ability to multitask and prioritize tasks in a fast-paced environment. * Experience with ERP systems and order processing software is a plus.
