Licensed Real Estate Assistant / Personal Assistant Job Description Job Title: Licensed Real Estate Assistant Job Summary: The Licensed Real Estate Assistant supports both Justin Joseph (JJRE) and Nilmini Senanayake Hecox (NHRE) by managing administrative tasks, coordinating client communications, managing both agent's social media accounts, and assisting with property transactions. This role requires a current real estate license and a strong understanding of the local market. Key Responsibilities: * Administrative Support: * Maintain internal operations through ASANA, to include constructing checklists for each new listing and buyer client, assist with selection and staging as needed * Oversee listing logistics to include delivering lockboxes, listing packets, turning on lights, coordinating and delivering marketing for listings including special feature cards, maintaining property websites, coordinating photography, installing home highlight cards * Manage schedules, appointments, and meetings for both agents * Organize and maintain client files, transaction documents, and property listings * Daily update of CRM with new contacts, notes from meetings etc. * Participate in client showings, open houses and other backup opportunities as needed. Commit to holding a minimum of 8 open houses per month (priority given to JJRE and NHRE listings) * Client Relations: * Act as a point of contact for client inquiries via phone, email, and internet * Provide timely updates to clients regarding property listings and transaction statuses including upcoming open houses * Facilitate communication between buyers, sellers, and other stakeholders * Be responsible for seamless client experience once under contract from emails on upcoming significant dates to client gifts at conclusion and gathering testimonials for social media and agent web pages * Implement plan for consistent client contact "touches" (e.g. Individual Agent Gift Program) * Monitor active listings as needed to identify upcoming deadlines, proactive client contact, marketing opportunities etc. Make client contact as necessary * Send weekly Seller Reports to active listing clients * Market Research and Analysis: * Manage Real Estate Review Process: * Develop comprehensive calendar for Real Estate Reviews (for each agent). Prepare documents, submit for review, then mail upon approval. Follow up via email and schedule appointments as needed * For JJRE: Identify "For Sale by Owner" opportunities and "Expired" Listing opportunities weekly and initiate first contact using script provided by text (from Justin phone via computer) or mail as needed. (No cold calls). Pass any "Hot leads" off to Justin * Social Media Management and Marketing: * Social media management of all platforms including Facebook, LinkedIn, Tik Tok, YouTube, Instagram and other social media platforms as determined. * Manage and update JustinJosephRealEstate.com (to be trained on platform) * Develop new listings home pages as needed (to be trained on platform) * Event managements including client events, and neighborhood welcome events * Identify and propose weekly video shoot concept to include concept, b-roll opportunities etc. Promote and market videos post edit * Technology and Software Management: * Utilize real estate CRM systems (CLOZE for both JJRE and NHRE), multiple listing services (MLS), Active Pipe and other industry-related software. * Maintain and update ASANA for both agents Required Qualifications: * A valid real estate license as required by state regulations. * Prior experience in a real estate office or related administrative role. * Knowledge of real estate practices, local market conditions, and industry regulations. Desirable Skills: * Excellent communication and interpersonal skills. * Strong organizational skills with a keen attention to detail. * Ability to multitask and manage competing priorities effectively. * Proficiency in office software and real estate-specific applications. * Familiarity with digital marketing and social media platforms is a plus. Working Conditions: * A minimum of 3 days in the office, approximately 9 a.m. - 5 p.m. * May require flexible hours, including evenings and weekends, to accommodate client needs and transaction deadlines. Compensation: Time is paid on all split transactions up until a listing contract is signed at which point, time is no longer paid, and Assistant participates in transaction split. * Parking for building * $25 per hour plus other splits / bonus / compensation How to Apply: Interested candidates should submit a resume, cover letter, and proof of a valid real estate license ADD EMAIL.
