Full description of the position
JOB SUMMARY:
- The Sales Administrator Assistant will have a key role in helping the sales department with daily sales administration activities and incoming customer inquiries. The Sales Administrator also provides support for the sales representatives, ensuring impeccable, all-around customer service. RESPONSIBILITIES AND DUTIES
- Provide job numbers for contracts, repairs and industrial projects and keep job number spreadsheet updated and accurate.
- Prepare and gather all information and paperwork needed for Pre-Qualification packets and Technical Proposals for General Contractors as required. Complete qualification packets for all 3 offices.
- Coordinate for the three locations and gather proper paperwork for fully executed contract packages which include but not limited to Insurance, CIPS, COI's, bonds, pre-qualification packages, etc. - update SharePoint and distribute Contract package to Accounting & Production. Review Contract package and Start-up Master Files with SA and Dallas Admins before job numbers provided and Contract packets distributed.
- Serve as backup for processing New Sub-Contractors Master Service Agreements and issuance of insurance packets if needed.
- Create opportunities in SharePoint for bids and move folders through the SharePoint process after contract is awarded. Review and confirm all documents and required information is gathered for the "Start-up" MasterFile for proper set-up.
- Point of contact for Annual Insurance Report updates on all COI's. Annually- Run BCH report and provide Insurance Renewals.
- Back-up to Assistant Sales Admin. and Assist other team members as needed on a daily basis.
- Distribute daily mail and various office duties as needed.
- Assist with downloading and printing bid packages as needed and full-size plotter drawings.
- Maintain spreadsheet with office equipment (copiers, scanners, etc.) for all three offices. Assist Bob (i.T.) as needed with equipment management and desk set up.
- Maintain issuance of company laptops in accordance with company Identification Tags and signed Payroll Deduction Forms and other equipment as needed. Provide signed forms to Human Resources.
- Serve as the point of contact for the sales department: Answering incoming calls and email messages.
- Typically, First point of contact for incoming Contracts. Contracts are reviewed and Modified per previous agreements and/or sent to Legal/Risk Management for review. Also responsible for monitoring New Customer contracts which are ran through in-house Risk-Management for modifications. Assist with monitoring responses and status updates . Maintain records of executed Contracts.
- Maintain Copier Supplies and Readings to BSI.
- Maintain Various Subscriptions for Sales (EagleView, TX Comptroller, etc.)

- Proficient using Microsoft Office.
- Excellent computer skills.
- Excellent communication and customer service skills to successfully contact clients and obtain missing information or answer questions.
- Excellent clerical skills to provide and update sales and customer records.
- Outstanding organizational and multitasking skills.
- Ability to prioritize work and succeed under deadlines. REQUIRED EDUCATION AND EXPERIENCE
- High school diploma required
- Associate's degree in Business Administrative preferred.
- Sales Department Assistant preferred: 3 to 5 years
- Roofing Knowledge Preferred: 3 years
- Contract negotiation: 3 years
- Contract Bid: 3 years
- Permitting Experience: 3 years
- Insurance Claims & payments: 3 years
