Overview Approved Code Services is a licensed and authorized Pennsylvania Uniform Construction Code third-party building inspection and plan review agency. We are well-known and trusted across the state for our knowledgeable and experienced commercial and residential building plan review and inspection services. We are seeking a detail-oriented and experienced Billing and Accounts Manager to oversee our billing operations. The ideal candidate will be responsible for managing the billing process, ensuring accuracy in accounts payable, and maintaining effective communication with customers. This role requires strong mathematical skills and a solid understanding of revenue cycle management. The Billing Manager will play a crucial role in maintaining financial integrity and supporting the overall financial health of the organization. Responsibilities -Overseeing Customer Accounts o Maintaining Customer Records o Communicating with Past Due Accounts o Maintaining Municipal Relationships with Finance Departments - Esp. Payables o Maintaining Fee Schedules o Maintaining Required COIs -Overseeing Billing and invoicing o Ensuring Workflows have complete and accurate billing data o Ensuring all Fee sheets are completed correctly and paid in a timely manner o Ensuring the timely creation of invoices and ensuring all details are accurate o Ensuring the accurate and timely billing of Third-Party electrical inspections and failed inspections o Verifying discrepancies in billing and resolving all client billing issues o Processing refunds and customer credits o Supervising billing staff and providing them with guidance and training o Designing and implementing new billing systems and processes o Ensuring all billing operations adhere to legal guidelines and specifications o Creating detailed reports regarding the billing activities within the company o Communicating with clients, customer service, and sales departments to resolve billing issues o Managing account balances and ensuring timely payment from clients o Collaborating with other departments to ensure billing accuracy o Performing account audits to ensure compliance and accuracy - Receivables and Bank Deposits o Ensuring that all payments are accurate recorded o Ensuring bank deposits are processed accurately and in a timely manner Experience * Proven experience in a billing or accounts payable role, preferably in a managerial capacity. * 3-5 years of relevant experience or a combination of education and work experience in billing, accounting, or bookkeeping and a minimum of 2 years of supervisory experience. * Strong customer service skills with the ability to communicate effectively with clients and internal teams. * Experienced in QuickBooks, Microsoft Excel and other similar accounting or bookkeeping software. * Proficient in math, with a solid understanding of debits, credits, and general accounting principles. * Ability to handle multiple tasks efficiently while maintaining attention to detail.
