As a seamless merger of historic retrofit and new construction, our 267-room boutique hotel showcases stunning interior design by international style icon Kelly Wearstler, tantalizing dining options by local culinary stars, and a show-stopping rooftop lounge and swimming pool. With 16,000 square feet of sophisticated meeting and event space, we create unforgettable experiences for our guests. We are seeking an organized, and detail-oriented Group Sales Coordinator to join our dynamic Sales Department. The Group Sales Coordinator will serve as a critical liaison between clients and internal departments to execute successful group experiences at our luxury property. Job Summary: The Group Sales Coordinator plays a vital role in supporting the hotel's group sales efforts by managing administrative functions, coordinating client communications, and ensuring seamless execution of group bookings. This position requires exceptional organizational skills, attention to detail, and the ability to build relationships with clients and internal teams. The ideal candidate will contribute to revenue goals while maintaining the highest standards of service that reflect the unique character and luxury positioning of the Santa Monica Proper Hotel. Essential Job Duties and Responsibilities * Support the Sales Managers in managing the group sales process from inquiry to contract execution * Prepare and distribute group sales proposals, contracts, and booking documents * Maintain accurate client information and booking details in sales and catering systems * Conduct hotel tours for potential clients when needed * Coordinate with operations teams to ensure proper execution of group requirements * Generate BEOs (Banquet Event Orders) and distribute to appropriate departments * Track group room blocks and meeting space inventory * Assist with post-event billing and reconciliation * Generate sales reports and contribute to weekly sales meetings * Respond promptly to client inquiries and requests * Maintain organized files for all group bookings * Support sales and marketing initiatives to drive group business Education and/or Experience * High school diploma or equivalent required; associate's or bachelor's degree in business, marketing, or related field preferred. * 1-2 years of experience in a sales support or administrative role, preferably within the hospitality or service industry. * Experience with CRM systems, Microsoft Office Suite (Excel, Word, PowerPoint), and other sales-related software is a plus. Skills/Specialized Knowledge * Strong organizational skills with the ability to manage multiple tasks and deadlines effectively. * Excellent communication skills, both written and verbal, with a professional demeanor. * Attention to detail and accuracy when handling data and client information. * Ability to work well independently and as part of a team. * Proactive, with a positive attitude and willingness to take on new tasks. * Strong interpersonal skills with the ability to engage with clients and colleagues in a professional manner.
