Full description of the position
This position requires previous hotel experience. The Group Sales Coordinator is responsible for supporting the sales team by coordinating Group and corporate account reservations, room blocks, events and other administrative duties. Main tasks include inputting and maintaining rooming lists, billing and reservation notes; monitoring and actioning the hotel reservations inbox; updating Group Resumes and BEOs with the sales team; and general sales communication with hotel departments. This position also supports the overall Sales & Catering team at Hotel Angeleno. Sales Coordinator Duties and Responsibilities: * Ensure that all sales room blocks, meetings and events, billing procedures, trace dates and any other necessary arrangements are transmitted correctly in the system prior to guest / group arrival. * Work with Director of Sales & Marketing, Sales Managers, Finance, and other team members to ensure accurate data reporting internally and to the client. * Ensure sales clients can make reservations and count on the hotel for accurate and timely billing by completing the following tasks: set up billing (follow SOP's), follow up with client on rooming lists and enter the names in the PMS, track commission payments, track group no shows, review VIP group reservations and confirm they are blocked in the correct room types. * Distribute all documents correctly and on a timely basis to the client and necessary internal departments. * Monitor guest room block and blocked event space to ensure group is meeting their contractual obligations. * Perform all administrative duties in a tidy, organized manner and help maintain sales office orderly at all times. * Prepare and / or update written communications: memorandums, BEOs, Group Resumes, event floorplans, maintain and create sales spreadsheets, sales letters, cover letters, thank you letters, mailings, collateral, ordering supplies etc. * Communicate all last-minute changes, additions and cancellations to all departments. * Ensure that all sales entries and changes are entered in Opera accurately * Prepare all necessary sales reports * Process all purchase orders and special requests * Follow up on audio-visual needs and set-up requests prior to event date as needed * Ensure all billing requirements are met * Work with the banquet operation to ensure the highest standards of service, comparing BEO items against actual sets and service * Answer all telephone and email inquiries in a pleasant, courteous and professional manner and ensure that all pertinent information is noted accurately and legibly and quickly communicated to respective Sales Managers. * Be organized and detail oriented. * Professional while maintaining communication with sales team and all departments. * Posting Payments * Upkeep and inventory of Sales Collateral (brochures, marketing materials and menus etc.,) * Set up and coordinate site inspections for Sales Managers with other departments and clients * Update and monitor client lists for emails blasts with Director of Sales * Assist Sales Managers with daily office duties *Assist Sales Managers with prepping for tradeshows, packing and mailing collateral etc., * Generate Month End Reports: (Pace/Transient Production/Production) * Set Up Amenities for VIPs * Assist with Market Research: (Comp Set, New Hotels or New Businesses, Parking etc., * Internal liaison to Front Desk, Housekeeping, Engineering, Accounting & West Restaurant * External liaison to hotel guests, corporate accounts, travel agents and all sales clients Prerequisites: * Proven success in a similar role and environment. * Empathy towards customers and colleagues. * Pride and attention to detail. * Polished personal presentation with Warm, confident and hospitable personality.
