Job Title: Sales Administrator Department: SALES Reports to: Department Manager or Branch Manager Job Summary: The Sales Administrator will support the Sales Team and Upper Management by managing the estimating, selling, processing, and collection of all potential and sold jobs. This role ensures that all National Accounts, House Accounts, Retail Customers, and other sales opportunities are handled with accuracy, professionalism, and efficiency. The Sales Administrator will be responsible for preparing estimates, tracking bids, following up on submissions, and maintaining clear communication with internal and external stakeholders. ESSENTIAL JOB DUTIES Estimating & Bidding: * Prepare and submit estimates for National and House Accounts (D&K Accounts). * Ensure all estimates are accurate, detailed, and submitted before deadlines. * Provide clear and professional bid documentation, including product specifications and job details. * Doublecheck all estimates for accuracy, spelling, and grammar before submission. Product & Quote Management: * Compile and verify all necessary product details, including door sizes, wind load, colors, glass options, lift requirements, operators, insulation, and decorative features. * Organize quote details such as job name, account name, contact information, job address, pricing, quantities, and option descriptions. Tracking & Follow-Up: * Maintain a bid calendar to track submission deadlines and ensure timely delivery of bids. * Use a bid tracker to record bid details, including customer name, project name, quote number, total door quantity, total job value, and expected award dates. * Conduct followups on submitted bids to determine job status and update records accordingly. * Document reasons for lost bids to improve future sales strategies. Communication & Correspondence: * Ensure all bidrelated correspondence copies the Sales email group to keep the team and management informed. * Maintain professional, courteous, and grammatically correct email communication with customers. * Work closely with sales, management, and customers to ensure clarity and consistency in all interactions. Essential Job Skills/Requirements: * High school diploma required; college education preferred. * Strong proficiency in Microsoft Office (Outlook, Word, Excel). * Excellent communication skills, including professional email correspondence. * Strong attention to detail and accuracy in data entry and documentation. * Ability to multitask, prioritize, and meet deadlines in a fastpaced environment. * Critical thinking and problemsolving skills. * Mechanical aptitude and the ability to read blueprints are a plus. * Selfmotivated with the ability to work independently and collaboratively. Preferred Qualifications: * Experience in the garage door or construction industry. * Background in reading and interpreting blueprints.
