JOB DESCRIPTION JOB TITLE: BD COORDINATOR PROJECT CONTROLS FLSA STATUS: EXEMPT PAY GRADE: ADM 1 DUTY DAYS:226 DATE REVISED:04/15/2025 HC FUNDING THIS POSITION IS BOND FUNDED. SOURCE: MINIMUM QUALIFICATIONS: A Bachelor's degree from an accredited college or university is preferred. Three (3) years of related project scheduling experience and two (2) years of experience working in construction is required. Incumbent must be proficient in Microsoft and Google Suite, as well as other computerized applications. A valid Texas Driver's License is required and must be in possession at all times when operating an Austin ISD vehicle. SKILL REQUIREMENTS: Incumbent is responsible for providing the coordination of targeted projects that support the bond program construction projects, campus support projects, and department needs. Implementation and evaluation of programs and documents which support projects that are linked to multiple campuses and facilities. This position supports project control activities such as but not limited to evaluating costs, analyzing project schedule trends to identify potential risks, and managing schedules in order to ensure timely and accurate project process reports. Incumbent must have the ability to exhibit good communication and public relation skills when interacting with school administrators, staff, and the general public. JOB PURPOSE AND RESPONSIBILITY: This position provides architectural, engineering, and construction management services necessary to the construction, renovation, or maintenance of all Austin ISD facilities, for major bond projects designed and constructed by consultants and contractors.** ESSENTIAL FUNCTIONS: * Complete initial draft schedules using Microsoft Projects. * Work with department staff to identify and address specific program and project needs. * Work with leadership, project managers, project facilitators, and department staff to write and maintain standard operating procedures. * Design and implement new processes that support department organization and productivity with staff and leadership. * Monitor and report on schedule submissions in the District's PMIS system, Procore. * Support and Review Project Leveling with the Project Leadership Team. * Regularly meet with program management team to review modernization projects. * Assist with PDM (Project Development Manual) and other project controls documents. * Assist with document controls and archiving. * Assist with management of data tracking and reporting * Assist with maintaining and entering project information into Procore. * Regularly meet with project teams to review targeted project schedule status and adjust accordingly. * Support supervision through the monitoring and updating of targeted project schedules to maintain and adjust the critical path. * Develop a baseline schedule while coordinating with targeted project managers. * Assist management to formulate mitigation plans to correct scheduling problems. * Use established best practices and scheduling software to implement, maintain and analyze the project schedules. * Coordinate all project controls to assess risk in accordance with established best practices and standards. Prepare rise and impact assessments of any changes to the schedule and presents to project team, as needed Page 1 of 3 AUSTIN ISD JOB DESCRIPTION * Analyze all changes to project schedule and the impact on cost and timeline. * Prepare detailed weekly, monthly, and quarterly reports and ensures distribution to appropriate staff. * Effectively work and build relationships with those of diverse backgrounds and organizational levels. * Compile, maintain, and file all reports, records, and other documents required including coordinating the storage and handling of construction documents. * Maintain documents controls and project schedules for all construction projects. * Maintain safety standards in conformance with federal, state, and local regulations. * Follow district safety protocols and emergency procedures. * Promote and practice intentional sustainability measures in the daily job responsibilities including but not limited to energy and water conservation, waste reduction, recycling, and composting in an effort to be a responsible steward of our environment and conserve District costs. * Provide an exceptional customer experience for all AISD stakeholders with intentional and professional practices that promote a culture of respect. OTHER DUTIES AS ASSIGNED: Perform other related duties as assigned; however, all employees are expected to comply with lawful directives in rare situations driven by need where a team effort is required. This position may involve rare exposure to blood or body fluids. Regular attendance is required for this position. Tools/Equipment Used: Standard office equipment including computer and peripherals Posture: Frequent standing, kneeling/squatting, bending/stooping, pushing/pulling, and twisting Motion: Frequent walking, grasping/squeezing, wrist flexion/extension, and overhead reaching; frequent driving Lifting: Frequent moderate lifting and carrying (15-44 pounds) Environment: Work in a standard office environment; may work irregular hours; occasional prolonged hours; may have districtwide travel. PERSONAL WORK RELATIONSHIPS: This position reports directly to the appropriate supervisor of the department. Incumbent will provide information and status reports and/or receive instruction and guidance. The incumbent will have regular contact with administrators, outside vendors, consultants, and other Austin ISD staff.
