PARKCHESTER SOUTH CONDOMINIUM JOB TITLE: RESIDENT SERVICES REPRESENTATIVE LOCATION: Parkchester DEPARTMENT/DIVISION: Resident Services FLSA STATUS: Non-Exempt SUMMARY/JOB SCOPE Reporting directly to the Director of Resident Services, the Resident Services Representative is responsible for providing administrative and customer service support to the Resident Services department, to owners, residents, and legal authorities with respect to purchasing, leasing, and managing of condominium units located within the Parkchester South Condominium. The Resident Services Representative works closely with the Director of Resident Services to ensure that efficient and professional services are provided to all involved with the daily business transactions of the condominium. ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES * Provides in person, phone, and electronic customer support to residents or candidates for residency, receives orders for new residency, discontinuance, or change in service * Completes contract forms, determines charges for service requested, collects deposits, prepares change of address records, and issues discontinuance orders * Adjusts complaints concerning billing or service rendered, refers complaints of service to designated departments for investigation * Prepare correspondence, bills, statements, receipts, checks, or other documents such as parking stickers, violations, lease packages, right of first refusal, waivers, dog licenses and copying information from one record to another * Interfaces with condominium attorneys as necessary regarding condominium legal matters such as foreclosures, owner violations, late payments, evictions, and other matters * Perform credit checks on new owners and tenants and maintains standards and procedures of the Fair Credit Reporting Act * Maintains department records, owner and tenant files, proofreads records and forms * Maintains optimal customer service and treats all residents, owners and others having business with the condominium with politeness, courtesy, and respect * Data entry into condominium database and spreadsheet files * Compilation of reports based on database information including, but not limited to vacant, foreclosures and legal matters * Manages key request and access card process and distribution for new and existing residents * Responsible for inter-departmental communication (i.e. Legal Compliance, Leasing, Legal, Public Safety and Accounting) in order to obtain information necessary to address resident inquiries * Assists the Director of Residential Services as requested * Performs additional assignments as required by operating needs of the company or as directed by upper management. SKILLS AND QUALIFICATIONS * Experience in property or capital projects management preferred * Ability to manage multiple projects, prioritize and meet deadlines in a fast-paced environment * Excellent interpersonal and communication skills, with demonstrated ability to speak and write clearly * Excellent organization, time management, and follow-up skills * Acute attention to detail * Highly proficient with Microsoft Suite * Demonstrated ability to be self-directed and take initiative * Demonstrated ability to maintain professionalism and confidentiality * Experience working in a Property Management office * HS Diploma/GED required.
