TIME REQUIREMENTS: This position must be in the office during normal business hours and be available outside of business hours to assist with time-sensitive tasks or troubleshooting property owner issues. This includes weekends or holidays. At times the board may require email blasts to be sent out to the neighborhood and notifications must be sent out within 24 hours of the request unless otherwise directed. The position requires you to be present at all annual meetings, all board meetings and make yourself available during high traffic times for the common areas. Busy times are during annual meetings and from December to February for dues collection. During this time, working more than 45 hours per week is expected. JOB REQUIREMENTS: Experience working with memberships and cash handling with effective internal controls. QuickBooks knowledge is recommended; however training will be provided to all employees. Basic understanding of state statutes and how to look up legal guidance and interpret written rules. Knowledgeable in contract analysis and vendor accountability practices. Must be detail oriented and able to multi-task Ability to manage stressful situations in a professional manner DUTIES: * Assist in managing up to 1000 properties * Act as liaison between the Board of Directors, vendors, homeowners, and staff * Guide the Board of Directors in understanding their duties and responsibilities * Guide the Board of Directors regarding policies and procedures in accordance with State statutes and established association rules and regulations * Coordinate and attend all association meetings * Plan, facilitate, and attend annual association meeting * Collect and record property owner payments. Reduce outstanding balances by making collection calls and facilitating payment plans * Manage association finances through budgeting, AR, AP, report production, and financial tracking * Assist in preparation of monthly management reports * Maintain digital and physical copies of all Association records to comply with Record Retention Policies * Perform site visits for as required such as; vendor oversight, enforcement of covenants, and architectural compliance * Complete initial reviews of all architectural plans submitted. Ensure compliance with the covenants and coordinate with the Architectural Committees to render swift decisions * Provide mediation and support to resolve association member disputes or grievances * Track property owner violations, modifications and property transfers and properly document in Association records to allow for proper follow-up procedures to occur. Document all issues of compliance * Prepare Resale Certificate Packages and facilitate transfers with title companies * Lien Document filing and reconciliation * Communicate with property owners via website delivery, email, or phone calls within 24 hours * Maintain Association website content * Prepare written correspondence such as newsletters, violation notices or other Association notices * Provide support to Community Business Manager with miscellaneous HOA tasks as deemed necessary Job Type: Part-time Pay: $16.00 - $25.00 per hour Expected hours: 25 - 35 per week Benefits: * 401(k) * 401(k) matching * Flexible schedule * Professional development assistance * Referral program Schedule: * Monday to Friday * Weekends as needed Experience: * HOA management: 1 year (Required) Ability to Commute: * Lakehills, TX 78063 (Required) Ability to Relocate: * Lakehills, TX 78063: Relocate before starting work (Preferred) Work Location: In person
