Join Us as Our Account Administrator As an Account Administrator , you'll be a key member of our Sales & Client Services team, helping to drive excellent customer experiences, maintain accurate and timely booking workflows, and support account coordination and communication. You'll play a vital role in keeping things running smoothly while contributing to our mission of environmental responsibility and service excellence. FLSA Status: Full-Time | Non-Exempt Reports to: Sales Manager Travel: Minimal; local errands or events as needed Compensation: Negotiable - Eligible for medical insurance and PTO policy after 90 days Job Summary: The Account Administrator provides administrative and client support within the sales process--managing inbound inquiries, booking jobs, assisting with key account communication, and maintaining accurate sales documentation. This role requires professionalism, responsiveness, strong attention to detail, and a customer-first mindset. Core Responsibilities: Customer Service & Sales Support * Deliver exceptional customer service on every call, email, and interaction * Answer and document inbound leads via phone and email; book jobs according to SOPs * Respond to digital leads within 15 minutes via platforms like Gmail, Broadly, Yelp, and Unbounce * Complete outbound follow-up calls and emails to existing clients * Handle client concerns with professionalism and positivity; escalate when necessary Booking & Lead Handling * Use systems such as Jobber and tracking sheets to document all lead activity * Use call queue and Slack communication to ensure team-wide visibility * Apply booking SOPs for new/residential, repeat commercial, and complex leads * Hand off complex commercial leads to Business Development as needed * Keep follow-up notes and lead status up to date in CRM and project management tools Work Order & Quality Control Support * Ensure work orders are accurate and complete (contact info, site address, notes, weight estimates, pricing) * Maintain grammatical, formatting, and documentation standards across all entries * Add relevant client instructions and follow-up details to Jobber as needed * Support improvement efforts by flagging quality issues or documentation gaps Account Coordination & Communication * Assist with management of customer accounts and key clients * Maintain updated client records and assist with customer-specific notes * Coordinate with the operations team to ensure smooth job execution * Use Asana or similar tools to track tasks and sales-related KPIs * Contribute to periodic reports requested by the Sales Manager Professional Communication * Use professional, upbeat language in all internal and external communications * Maintain friendly, helpful interactions across teams via Slack, email, and calls * Use humor and positivity to support a healthy team culture--escalate problems privately * Communicate actively with operations about schedule changes, truck availability, and unique job details What We 're Looking For * Dependability: Reliable, accountable, and consistent * Customer-Centered: Positive, helpful, and service-minded * Detail-Oriented: Double-checks and follows through * Organized: Keeps tasks, info, and systems in order * Team-Oriented: Supports the crew and contributes to morale * Growth-Minded: Open to learning, feedback, and skill-building Preferred Qualifications * Experience in customer service, administrative, or account support roles * Familiarity with tools like Jobber, Hubspot, GSuite, Slack, and CRM systems * Strong written and verbal communication skills * College degree preferred but not required Schedule * Monday through Friday, 10-hour shifts * Some weekends or after-hours coverage as needed * Flexibility available within business needs Work Location: In person - Butler, WI 53007 Job Type: Full-time Pay: $40,000.00 - $45,000.00 per year Benefits: * Health insurance * Paid time off Schedule: * 10 hour shift * Monday to Friday * Weekends as needed Supplemental Pay: * Commission pay Ability to Commute: * Butler, WI 53007 (Required) Ability to Relocate: * Butler, WI 53007: Relocate before starting work (Required) Work Location: In person
