Position Title: Commercial Services Manager March 2025 Department: Sales and Revenue Services FLSA Status: Exempt Reports To: Director of Sales and Director of Revenue Management Vacatia Inc. is seeking a Commercial Services Manager for actively providing support to various commercial functions such as Sales, Revenue and Distribution. Commercial Services is focused in providing administrative support and be the play a key role in optimizing commercial operations management * Requirements * Bachelor's degree preferred * Minimum 3 years' experience in hospitality sales administration * Preferred understanding of group sales management and related administrative tasks * Good understanding of all customer segments and price products * Excellent written and oral communication skills As a Commercial Servicces Manager, you will support; * Sales Manageemnt * Revenue Management * Distribution Management * Property marketing * Duties * Manages all administrative duties with regards to managing sales database, contracts * Maintains General client interaction and supports the sales function as and when required * Coordinates and follows-up with clients on all new contracts including group requirements. * Manages Site Inspections of the property for contracting purposes for different segments * Research for market and competitive landscape. Key events and new developments in the city * Maintain accurate data entry of group information in the sales and property management systems. * Create listings on channels as and when required, such as Airbnb, VRBO, etc * Manage all resorts distribution channels including timeshare resorts and vacation rentals * Participate in weekly and bi-weekly revenue strategy meetings and provide distribution insights * Work with all relevant BI tools and gather market intelligence to ensure proper decision-making * Closely work with Manager Digital Marketing * Update content of social portals for properties * Maintain property profiles on relevant metasearch channels that have extranet set up * Position Summary*: The Commercial Services Manager reports directly to the Director of Sales and Director of Revenue Management. As a Commercial Services Manager, you will be responsible for actively managing all the sales-related activities in the property and general administration work required around it. You will also be responsible for supporting Sales personnel in managing and developing sales databases, cold calling, and assisting in increasing the sales reach. You will also be responsible for supporting the sales function by actively researching for new projects, sales leads, changes in market conditions, and the economy and be informed of changes in the competitive landscape. As a key contact at the property, you will strive to be its brand ambassador. As a commercial services manager you will also be responsible for actively managing and merchandizing content, photos, and distribution across Vacatia platform to remain current and competitive. You will also be responsible for supporting Revenue personnel in auditing systems, and channels of distribution from time to time and supporting revenue personnel with rates and availability management to maximize rental revenue for Vacatia managed resorts and properties. You will also be responsible for market and competitive research to stay competitive and contribute to developing and maintaining standards. As the Commercial Services Manager, you will work with Sales, Revenue, and Distribution to identify tech issues, find solutions to address shortcomings and maintain overall performance of systems. You will also collaborate with Revenue Management and ensure inventory availability is at optimal levels. In addition, you will collaborate with Digital Marketing personnel and manage the updates for social platforms, manage collateral needs digital and printed and work in general to help administer functions properly. Follows all company policies and procedures; maintains confidentiality of proprietary information; protects company assets. Reports accidents, injuries, and unsafe work conditions to manager. Speaks with others using clear and professional language; answers telephones using appropriate etiquette. Develops and maintains positive working relationships with others. Ensures adherence to quality expectations and standards. * Specific Responsibilities: * Upholds all company policies and procedures; maintains confidentiality of proprietary information; protects company assets. * Maintains a friendly, professional, positive and courteous service-oriented work environment and assures that team members subscribe to this culture. * Upholds the Resort's commitment to hospitality and outstanding customer care. * Manages all administrative duties with regards to managing sales database, contracts. * Keeps an up-to-date sales diary of key events and sales trips. * Maintains General client interaction and supports the sales function as and when required. * Coordinates and follows-up with clients on all new contracts including group requirements. * Manages Site Inspections of the property for contracting purposes for different segments such as corporate accounts, and groups. * Research for market and competitive landscape. Key events and new developments in the city. * Gains insights in competitive pricing for different segments. * Document client correspondence using the correct forms/processes. * Attend meetings as and when required. * Approach all customers in an attentive, friendly, courteous and service-oriented manner. * Adheres to established company standards, sales standards. * Develop a full working knowledge of the operations and policies of the property. * Perform any other duties as requested by the Director of Sales. Corporate/Leisure Accounts. * Organizes site inspections for the purpose of showing and contracting. * Assists Director of Sales with follow-ups for corporate contracts. * Participates in cold calling and assists in increasing the sales reach for corporate accounts. * Manages sales collateral and sales giveaways. * Manages sales trade show participation and early bird entries. * Coordinates with distribution for relevant content creation Groups. * Prepares group correspondence (group contracts, group resumes, catering orders) for the Sales Department and oversee distribution to appropriate departments at the property. * Coordinates with the appropriate departments at the property, resolves complaints and problems to ensure quality product delivery and customer satisfaction. * Maintain accurate data entry of group information in the sales and property management systems. * Maintain accurate group file trace systems to include timely follow ups related to applicable terms as outlined in the group contracts to include but not limited to receipts of deposits, rooming lists, due dates, cut off dates, and commissions. * Provide service to clients with confirmed booking contracts to include timely creation of booking links, monitor rooms pick up, rooming list collection and entry into property management system, reservation changes, special requests. * Collects proper payment for groups in accordance with group contract terms. * Assist sales with site inspection of rooms. Revenue and Distribution. * Set-up and manage OTA and extranet accounts. * Create listings on channels as and when required, such as Airbnb, VRBO, etc. * Manage all resorts distribution channels including timeshare resorts and vacation rentals. * Photography - Ensure photo assets are clearly optimized, marked and tagged for all properties. Work with revenue management to refresh photo assets as and when needed. * Content Management - Keep property information updated on all channels. Look for opportunities on extranets to maximize content-based opportunities. * Onboard new properties, update existing properties for channel representation. Work with all properties as and when a new channel is added to Vacatia ecosystem. * Audit all distribution channels periodically and maintain records for commissions and other terms. * Work with revenue management to ensure all products and policies are current and updated. * Work with revenue management to ensure ancillary. Fees are current, competitive and updated. * Work with revenue management to ensure that OTA channels reflect current tax structure and clearly define where taxes are collected and where it needs to be collected. * Participate in weekly and bi-weekly revenue strategy meetings and provide distribution insights. * Work with all relevant BI tools and gather market intelligence to ensure proper decision-making. * Provide analysis covering each major OTA channel to ensure properties are maximizing revenues. * Ensure rate parity and promotions are distributed across all distribution channels. * Ensure utilization of all free listings across channels and manage marketing such as Expedia TravelAds. * Maintain property profiles on relevant metasearch channels that have extranet set up. * Track key performance metrics for all properties. * Assist Revenue Management function in analyzing data and managing data for various reporting capabilities between internal and external resources. * Develop best practices for marketing on different distribution channels. * Develop, communicate and track key distribution metrics, including net rates, and profit per channel. * Update channel manager, property management systems and other systems as required. * Update forecast and rates as necessary. Analyze results of strategies and tactics deployed monthly. * Work with revenue management to update rates and availability and update forecasts as needed Digital Marketing. * Closely work with Manager Digital Marketing. * Update content of social portals for properties. * Update content library for Rentals. * Manage collateral needs for each property. * Collaborate for Trade show marketing material. * Performs other duties as requested by management.Daily Management, Inc.
