Full description of the position
Experience in tax credit, LIHTC, and Procorem software preferred. Responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the Company's mission, vision, objectives, policies and procedures. Responsible for conversion of telephone and walk-in prospects to leases, resulting in maintained and increased occupancy, and the inherent responsibility to effectively communicate with existing residents and establish a successful renewal program. Relationships: Reports to Regional Property Manager. Supervises on-site personnel within defined limitations. Maintains relationships with peers and all other departments within the company. Maintains relationships with suppliers, vendors, and others serving the Company or the property. Prepare and process resident service requests. Assist with resident problems and complaints concerning rent payments, and service requests, etc. Duties and Responsibilities: The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position: Maintains compliance required per H&L and Virginia Housing in an accurate and timely manner using Procorem software. Maintaining the physical asset. Supervises employees and contractors within defined limitations. Assures adherence to specifications (contractual; operations manual). Conducts a minimum of weekly site inspections of building interior and exterior. Makes recommendations for physical repairs and/or replacements. Ensures observance of safety regulations. Marketing and leasing: Regularly posts and updates online marketing sources. Regularly evaluates market conditions and property comparable. Implement marketing plan with Regional Property Manager. Properly screen potential residents' applications, credit and background reports, and other documentation according to company policy and procedure. Respond effectively to telephone, email, and walk in inquiries to generate prospective resident visits and tours the property. Show and demonstrate apartments, utilizing sales skills to demonstrate market ready products and availability to close prospects. Follow up with prospective residents until you are told no, or they find something else. Input telephone, email and walk-in traffic by entering traffic in Rent Manager. Perform move-in and move out inspections per company guidelines. Review the Welcome packet and lease documents with new residents in a timely and professional manner. Makes recommendations to improve marketing and leasing programs and rent management: Supervises rent collection in accordance with policies and procedures. Approves and monitors rental rate recommendations for new leases and renewals based on current market information. Coordination of day-to-day activities of the property, in accordance with the standards established by supervisor. Financial reporting and control: Adheres to the annual property management plan and operating budget. Reviews all monthly financial reports. Approves expenditure in accordance with Company policy and procedures and approval limit. Administration: Ensure property files and records are maintained and up to date. Continually improves management and technical skills. Spends agreed-upon percentage of time on obtaining market knowledge, community relations, and asset evaluation. Properly process monthly legal and collection accounts and maintain documentation for filings and follow up. Responsibility for weekly/monthly reports to include receiving and posting of rents. Assist in maintaining office clerical, filing and record keeping systems. Identify and strive to meet the residents' needs. Prepare newsletters and promotion flyers for supervisor approval before distribution. Planning community activities and events. Accounting policies and procedures: Maintain account records and make bank deposits. Help to prepare weekly and monthly reports as required. Help to prepare legal action for evictions, as necessary. Collect, record & deposit rental payments, application fees, security deposits, etc. Responsible for properly handling property funds, seeking proper approval, being mindful of funds spent, ensuring best financial practices.Harrison & Lear Inc
