Summary of Position: We are seeking a detail-oriented and tech-savvy Sales & Marketing Administrator with expertise in HubSpot to manage, lead, and enhance processes, coordinate events and webinars, and ensure smooth sales & marketing operations. This individual will play a critical role in maintaining an efficient marketing workflow, optimizing HubSpot for automation and reporting, and supporting the execution of sales & marketing initiatives. Key Sales Responsibilities: * HubSpot CRM Management: Maintain accurate client and prospect records, manage data entry, clean-up, and updates in the CRM, generate sales reports and dashboards for leadership. * Sales Support: Prepare and send proposals, quotes, and contracts, help schedule meetings and calls, follow up with prospects or clients after sales team meetings. * Internal Coordination: Act as a liaison between sales, marketing, finance, and operations, help onboard new sales reps (setup emails, CRM access, etc.), coordinate internal sales meetings and maintain meeting notes. * Calendar & Communication Management: Manage sales team calendars and schedule client meetings, confirm appointments and send reminders. * Lead Management: Assign inbound leads to appropriate sales reps, track lead activity and status, ensure timely lead follow-up and escalate if needed. * Reporting and Analytics: Track KPIs like pipeline size, deal velocity, and close rates, provide weekly/monthly sales reports to management, highlight gaps or opportunities for improvement. * Training and Resources: Maintain a library of sales scripts, templates, and collateral, organize sales training sessions or lunch-and-learns, help with onboarding documentation and quick-start guides Key Marketing Responsibilities: * Lead Nurturing: Help develop lead nurturing sequences and workflows, monitor and improve lead data and insights, and tracking of leads between marketing and sales teams. * Event and Webinar Coordination: Plan and execute marketing events and webinars, including logistics, promotion, registration, and follow-ups. * HubSpot CRM Management: Maintain and enhance data, insights, and usage of HubSpot CRM. Manage and maintain marketing databases and lists. Create and manage marketing campaigns within the CRM, including email journeys and automated workflows. * Marketing Administration: Support marketing operations by coordinating marketing initiatives and ensuring smooth execution of marketing plans. Manage inventory of physical and digital marketing assets, including ordering displays, promo items, and printed sales sheets, as well as organizing digital assets and ensuring they are up-to-date and published to all relevant portals. * Content and Digital Marketing: Support the creation of marketing materials, including brochures, newsletters, and social media content. Ensure all marketing materials meet brand standards. * Performance Tracking: Generate reports and dashboards within HubSpot to track marketing performance, lead conversion rates, and campaign effectiveness. Help identify areas for process improvement and automation. * Collaboration: Work closely with marketing, sales, and business development teams to align efforts and ensure streamlined processes. Qualifications: * Bachelor's degree in marketing, Business, Communications, or a related field. * 3+ years of experience in sales & marketing administration, preferably in the financial investment industry. * Strong proficiency in HubSpot, including CRM, automation, reporting, and lead management. * Experience coordinating events and webinars, both in-person and virtual. * Detail-oriented with strong organizational and project management skills. * Strong analytical skills with the ability to interpret data and optimize processes. * Excellent communication skills and ability to work in a collaborative team environment. Work Environment and Physical Demands: This job operates in a traditional office landscape, routinely using standard office equipment such as a laptop, phone, and headphones. This is largely a sedentary role. The appropriate technology will be provided by Advisor Legacy to do all basic elements of the day-to-day responsibilities. Position Outline: The Sales & Marketing Administrator is a full-time, hourly position. This position has a hybrid structure two days in office (Troy, MI) and three days remote. Working fully remote may be considered for exceptionally strong candidates, outside of range to reasonably commute on-site.
