Position: Sales Operations Coordinator Job Type: Full-time Work Location: This role is 100% onsite at 4565 Reid Rd, Elon, NC 27244. The Role : As a highly organized and detail-oriented Sales Operations Coordinator your contributions will be crucial in supporting the sales team's efficiency and effectiveness by managing key operational tasks, maintaining our sales technology stack, ensuring data integrity, and facilitating smooth internal processes. Responsibilities include CRM administration, lead routing, reporting, inventory coordination, data hygiene, supporting sales team communications, and handling new hire onboarding logistics. The successful candidate will be a proactive problem-solver dedicated to optimizing sales processes and enabling the sales team to focus on selling through the key responsibilities outlined below: Key Responsibilities *Lead Assignment & Routing: *Enforce lead assignment rules, monitor inbound lead flow for timely follow-up. *Install & Service Job Coordination: * own the calendar, align customer expectations, and provide pre/postinstall status updates. *Closed Won Handoff & Billing Coordination: *collect and archive all signed SOWs/Purchase Orders, ensure records are complete in the CRM, and transmit a clean billing package to Finance so final invoices can be issued promptly. * Sales-Tech Stack Administration: Maintain CRM (HubSpot) and connected tools, including managing licenses, user provisioning, and basic troubleshooting. *Management Reporting & Sales L10 Prep: *Pull, format, and visualize key sales performance indicators (KPIs) for management reporting; prepare the weekly scorecard for the Wednesday-morning L10 meeting. * Non-Parts Inventory Coordination: Track inventory of new and rental units to make sure there is visibility for the sales team. Also manage shipping and returns processes for these items. * HubSpot Data Hygiene: Ensure data accuracy by regularly updating opportunity fields and contact notes; run weekly de-duplication checks and clean-up tasks. * New-Hire Onboarding Logistics: Handle system access setup, equipment provisioning, and preparation of "day-one" sales kits for new team members. * Internal Sales Comms Hub: Distribute important product/pricing updates and win announcements to the sales team via Gmail and Google Chat. Non-negotiable Qualifications: * 1-2+ years of proven experience in Sales Operations, Sales Support, or a similar administrative role requiring strong organizational skills. * Demonstrated experience administering CRM software (HubSpot or similar). * Proficiency with spreadsheet software (Google Sheets / Microsoft Excel) for data organization and basic reporting. * Exceptional attention to detail and commitment to accuracy. * Strong organizational and time-management skills, with the ability to manage multiple priorities effectively. * Excellent written and verbal communication skills. * Based in or able to reliably commute to our Elon, NC office daily. Preferred Qualifications: * Experience creating reports or dashboards for sales or business analysis. * Familiarity with lead assignment principles and Service Level Agreements (SLAs). * Experience in B2B manufacturing, construction equipment, or a related industry. * Proficiency with Google Workspace (Gmail, Chat, Sheets, Docs).
