Position Overview *Key Results for Estimating & Sales Coordinator *1. Estimating, Bidding & Sales Lifecycle * Maintain 95% accuracy in tracking and logging bid opportunities. * Provide initial bid analysis within two business days of identification. * Ensure 100% follow-up on submitted bids and sales prospects. *2. Bid Accuracy & Completeness * Submit 100% of bids on time with no disqualifications due to errors. * Track and incorporate 100% of addenda in bid submissions. * Ensure full compliance with public and private bid requirements. *3. Sales & Pipeline Management * Update and maintain weekly bid and sales pipeline reports. * Track bid hit rates to improve estimating strategies and increase win percentage. * Maintain a <24-hour response time for bid-related inquiries. *4. Document Control & Data Accuracy * Ensure 100% accuracy in bid logs, sales reports, and historical data. * Keep all bid and contract files organized with zero missing documents. *5. Communication & Coordination * Provide weekly updates on bid status and pipeline trends. * Ensure 95%+ response rate from internal teams and subcontractors. * Conduct post-bid follow-ups within three business days to refine strategies. Reports to Vice President of Project Success Position Summary The Estimating & Sales Coordinator is a key driver in managing the full estimating, bidding, and sales tracking lifecycle, ensuring accurate, organized, and strategic execution of proposals and sales reporting. This role is responsible for tracking bid opportunities, compiling and analyzing bid data, logging and managing sales reports, and ensuring clear communication between estimating, sales, subcontractors, and clients. The ideal candidate has strong organizational and analytical skills, a keen attention to detail, and a passion for business development--leveraging both qualitative and strategic thinking to help win projects and drive company growth. This position is suited for someone who thrives in fast-paced, deadline-driven environments and enjoys bridging the gap between estimating and sales to maximize opportunity tracking, competitive analysis, and business acquisition. *1. Ownership of the Estimating, Bidding & Sales Lifecycle * Monitor, log, and track the entire bid and sales process from lead identification to contract award. * Provide initial analysis of bid opportunities, summarizing key requirements and strategic fit. * Ensure estimators and sales teams have the most up-to-date opportunity pipeline, bid status, and sales metrics including providing reporting. * Follow up on bid submissions and sales prospects, ensuring no opportunities fall through the cracks. *2. Bid Accuracy & Completeness * 100% of bids are submitted on time, with all required documentation (addenda, certifications, forms). * Zero bid disqualifications due to missing information or errors. * Comprehensive tracking of addenda to ensure all changes are accounted for in bid submissions. *3. Effective Communication & Coordination * Seamless coordination between estimators, sales teams, project managers, and subcontractors to ensure timely responses. * Regular updates provided to estimating and sales teams on bid status, upcoming deadlines, and pipeline trends. * Proactive follow-up on bids and sales leads, increasing conversion rates and driving new business.
