About Us The Leslie Eason Real Estate Team, part of Keller Williams High Country Reaty, is an established top-performing Real Estate team committed to delivering an exceptional client experience at every stage of the buying and selling process. We are seeking a highly organized and proactive Listing and Administrative Manager to join our growing team. This individual will play a critical role in supporting our agents, managing property listings, overseeing administrative functions, and helping our team operate at peak efficiency. Position Summary The Listing and Administrative Manager is responsible for managing the end-to- end process of Real Estate listings, providing operational and administrative support to agents, overseeing team financials, assisting with new hire onboarding and training, and supporting reporting and goal-tracking efforts. The ideal candidate is detail-oriented, self-motivated, tech-savvy, and thrives in a fast-paced, client-focused environment. Key Responsibilities: Listing Management * Coordinate all aspects of the listing process, from initial property preparation to launch, marketing, and transaction support. * Manage listing timelines, documentation, MLS input, property photos, marketing materials, signage, lockboxes, and vendor scheduling. * Ensure all marketing materials, disclosures, and listing agreements are accurate, complete, and compliant with regulations. * Support transaction management activities through closing, including coordinating inspections, appraisals, and client communication. Administrative Support * Maintain and update internal systems, databases, checklists, business accounts and logins * Assist agents with document preparation, meeting scheduling, and communications. * Serve as a central point of contact for vendors, clients, and internal team members. Manage business accounts for team. * Ensure compliance with brokerage policies and industry regulations. Onboarding and Training Support * Assist with the onboarding process for new agents and administrative employees, ensuring they are set up with the necessary systems, tools, and resources. * Provide basic training on internal processes, documentation, and team platforms. * Serve as an ongoing resource for new team members as they integrate into the team. Financial Management * Process and manage payment of bills, invoices, and vendor payments. * Maintain team budgets and expense tracking, always looking for cost savings and efficiencies * Assist leadership with financial reporting and ensure proper record-keeping for auditing purposes. Reporting and Goal Tracking * Compile and analyze regular reports on listings, marketing effectiveness, lead conversion, client feedback, and team performance. * Track team goals and support leadership with performance dashboards and insights. * Identify opportunities to improve processes and enhance client and agent experience. Qualifications * 2+ years of experience in Real Estate operations, transaction coordination, or administrative support (Real Estate team or brokerage experience preferred). * Strong organizational skills with high attention to detail and accuracy. * Excellent communication and interpersonal skills; client-service focused. * Ability to manage multiple priorities in a fast-paced environment. * Proficiency in Real Estate platforms (MLS, Dotloop, DocuSign, CRM systems, Canva, Google Suite, etc.) preferred. * Knowledge of financial tracking and basic budgeting principles. * Tech-savvy with the ability to learn new software and systems quickly. * Experience with onboarding/training processes preferred. * Problem-solving mindset and ability to anticipate team and client needs. * Real Estate License is a plus but not required.
