Full description of the position
CLASSIFICATION: Salaried POSITION TYPE: Full-time EXPECTED HOURS OF WORK: Monday - Friday/8:00 am to 5:00 pm (Occasional weekends and evenings are also required). REPORTS TO: VP of Sales and Marketing/Marketing Manager SUMMARY/OBJECTIVE: Theprimary function of the Sales and Marketing Coordinator is to assist with both office and offsite portions of work relating to but not limited to escrow, sales, marketing, advertising, and social media efforts of the company's Northern and Southern California operations. ESSENTIAL FUNCTIONS: * Assist in designing, producing, and distributing all marketing related e-blasts, flyers, newsletters, and other collateral as needed. * Assist Marketing Manager in maintaining social media outreach, making performance enhancing recommendations and managing analytics. * Assist in design and production of sales office collateral and display needs (Van Daele standard displays and plaques, fliers, brochures, and other handouts) * Maintain the Van Daele Homes website to keep pricing, photography, and community statuses current. * Manage buyer profile database, including tracking and distribution of summary reports to internal and external contacts. * Assist with event coordination for grand openings, VIP parties and other special event needs. * Assist in community set up and close out process under the direction of the Marketing Manager. * Plan and assist in coordination of community grand openings and other project meetings for all new communities. * Manage interest list communications for all website inquiries regarding active and future communities and maintain updates and track project interest lists in company's CRM database. This also includes creating and distributing weekly reporting on interest list activity. * Process department related invoices, check requests and vendor set ups under the direction of Marketing Manager and VP of Sales and Marketing. Monitor media spending and ensure invoices reflect budget. * Input MLS entries and coordinate with Escrow Manager to post open houses. * Order and maintain inventory of all company branded stationary/merch. * Coordinate plant maintenance for new communities. * Coordinate model home, sales gallery, and event photography. * Manage lender partners market collateral documentation requirements per marketing agreement requirements. * Provide research/information on new community start-up components for marketing collateral to include Chamber of Commerce, schools, libraries, amenities, hospitals, museums, and cultural art centers. * Processing of department marketing/consultant contracts and consultant agreements as well as processing invoices and required deposits. * Review, edit and manage internal collateral routing to appropriate departments for review/approval/completion and website production needs. * Assist Marketing Manager with on and offsite signage needs (manage signage programs, kiosks/offsite signage, and regular maintenance issues). * Assist in producing and distributing department weekly/monthly/quarterly reports * Oversee department and sales office community supply needs and orders. * Maintenance of the digital Sales & Marketing Department files and records. * Perform various administrative functions VP as needed to include meeting preparation/scheduling as well as maintenance of master department calendar. * Perform other duties as assigned QUALIFICATIONS: * High School Diploma or equivalent, required * Bachelor's degree in related field, preferred * Valid Class C Driver's License and a Clean DMV Record, required * Proficient in Microsoft Office Suite, Social Media Platforms, and Adobe Photoshop or other graphics software REQUIRED SKILLS: * Must possess organizational skills and be able work efficiently and effectively under varying degrees of direct and indirect supervision * Excellent interpersonal skills and being able to communicate effectively with coworkers, supervisors, subordinates, subcontractors, consultants, government officials, realtors and brokers, sales agents, and our customers the homebuyer. * Embody Van Daele Homes' 'Buyer Friendly' brand promises in all efforts. * Possess the ability to recognize, analyze and solve problematic situations. * Utilize excellent time management skills and be able to manage multiple tasks concurrently. * Must have strong verbal and written communication skills * Ability to perform/attend jobsite meetings * Skilled at making meeting/event preparations A complete job description is available upon request.
