Full description of the position
As Regional Property Manager, you will play a key role in overseeing the operation success of our multifamily communities. Working closely with and reporting to the Director of Operations, this position is responsible for managing teams, optimizing properties performance, and ensuring high levels of resident satisfaction. The role also includes financial oversight, asset maintenance, and strategic marketing initiatives. Responsibilities: Team Management - Recruit, train, mentor and lead Property Managers for each of the multifamily communities. - Oversee all staffing requirements for the portfolio and ensure all company positions are filled at any given time. - Provide strong leadership and guidance to all team members to ensure adherence to the company's standards of excellence. - Promote a healthy work environment that boosts morale and increases productivity and retention of the team. - Conduct regular group and one on one meetings with team members. - Maintain a professional working environment through implementing appropriate dress codes and codes of conduct. - Monitor the progress of all mandatory employee training. through the company's Learning Management Software. - Prepare employee schedules, approve time worked and manage all requests for PTO through the company's Time Management Software. Marketing Strategies - Analyze and monitor trends in the multifamily market and work with the Property Managers to implement marketing strategies that will maximize occupancy and revenues. - Oversee the portfolio's online presence through management of social media accounts, online reviews and company websites. - Conduct regular market surveys and adjust pricing as needed to stay competitive within the industry. - Work with third party advertisers to increase the portfolio's visibility. Tenant Management and Satisfaction - Lead and mentor staff by demonstrating a high level of professionalism and customer service that will increase tenant satisfaction and retention. - Resolve tenant complaints, violations and disturbances with high degree of professionalism. - Ensure rental collections are timely and react quickly when delinquencies occur to minimize the accounts receivables and avoid losses due to uncollectible rent and write offs. - Determine the screening criteria for prospective tenants and render appropriate decisions when necessary while always adhering to all governmental and legal requirements. - Ensure proper documentation is kept for all tenant files, including the proper execution of all lease files. Asset Maintenance - Conduct regular site visits to inspect physical condition of the properties to ensure the company standards for both safety and maintenance are met. - Coordinate with maintenance personnel to ensure all necessary repairs and scheduled maintenance are done in a timely manner. - Negotiate contracts with vendors by assessing the needs of the properties and monitoring the progress of all major works. - Identify and suggest capital improvement projects that will benefit the company, then follow through with sourcing multiple quotes before undertaking any approved projects. - Supervise all third-party property inspections. - Ensure compliance with all insurance, risk management and work and safety requirements and always maintain best practices. - Assist with the prospecting and acquisition of new properties, including due diligence inspections and the transitioning and integration to the portfolio. Financial Management - Assist in the development of the annual operating budgets of the properties. - Manage and maintain expenses within budget constraints and implement cost savings where possible. - Prepare monthly and quarterly budget variance reports to review with Property Managers and take corrective action when necessary. - Review property pre-close financials on a monthly basis. - Ensure proper purchasing channels are being followed by approving purchase orders and invoices. Systems Management - Be the point person for all things related to the Property Management Software (PMS). - Update and maintain all company and user settings within the PMS to ensure compliance with organizational and regulatory standards and policies. - Perform periodic tests of system settings and output and take corrective action where needed. REQUIREMENTS Work Experience & Education - Minimum 5 years of experience in a Regional Multi-Family Property Manager position. - Minimum 10 years of experience in the Multifamily Property Management industry. - A degree in higher education specializing in Property Management, Business Administration or related field is preferred. *Leadership & Supervisory - Experience in a supervisory role with skills necessary to hire, direct, mentor and evaluate team members. - Strong leadership abilities to foster a positive and productive work environment. - Availability outside of regular work ours when the need demands it (emergencies). Knowledge - Knowledge of business principles and practices including strategic planning, policy development and human resource management. - Knowledge of key marketing strategies with a proven history of developing and implementing successful marketing models that met identified financial goals. - Solid understanding of key accounting and financial aspects of a business including the ability to interpret financial statements, budgets and other financial records. - Knowledge of all legal, government and industry policies and regulations. Computer Skills - Strong mastery in using leading Property Management Software such as Yardi, OneSite or equivalent with experience in system implementation and administration. - High level of proficiency in Microsoft Office including Microsoft Outlook, Word and Excel. Personal Skills - Highly organized with an ability to perform optimally in a fast-paced work environment. - Confident and decisive. - Ability to remain calm, composed and professional in stressful situations. - Strong ability to use logic and common sense when making decisions while always adhering to company, industry and legal procedures, standards and requirements. - Excellent verbal and written communication skills. - Excellent listening and reasoning skills with strong empathy and compassion for others. - Highest level of honesty, integrity and transparency. - Strong desire to succeed and achieve. Certificates & Licenses - A valid driver's license and vehicle to be able to travel between properties within the portfolio (Phoenix Metropolitan Area). - Industry certification (such as CPM, CAPS or CAM) is preferred. Physical Requirements - Ability to sit, stand and walk on property for extended periods of time. - Must be able to navigate stairs. - Ability to effectively communicate with persons within and outside of the organization. - May be required to lift or carry items weighing up to 20 lbs. - Must be able to work with technology including the ability to operate a computer, keyboard, mouse and other office equipment. - Routine travel within the Phoenix Metropolitan Area is required.
