Full description of the position
The role of the Group Sales Coordinator is responsible for assisting in the development and management of the Company's inbound and outbound group sales promotions and programs, which are designed to drive revenue, enhance and elevate Wailea Golf Club's and Wailea Racquet Club's position as the premier golf and racquet facilities. This position requires the incumbent to establish a thorough understanding of golf and racquet operations, group sales and event coordination, reservations, tee sheet maximization, retail, and racquet facilities, as well as the Wailea Resort environment, guest demographic and industry competition. The incumbent must have excellent sales and personal relations skills to properly accomplish group sales goals and objectives, the Company's Strategic Plan, and support the highest level of customer service and experience for all guests. They should possess a flexible mindset, including the ability and willingness to adjust to new and changing environments and priorities. Primary Goals/Responsibilities: * Supports sales efforts targeted at select group and guest segments; works closely with the Director of Sales and Marketing, Head Golf Professional, and golf operations staff to establish, build and maintain relationships with current business and to solicit new business. * Supports Director of Sales and Marketing in coordination of all areas of group tournaments and related bookings (corporate/private/kama`aina), including responding to incoming requests for golf play and assisting with site inspections and pre-planning meetings. * Collaborates and works with Head Golf Professional(s), Manager of Operations and Business and Director of Racquet Sports and other operations team members to ensure execution of execution of group events. * Creates group event proposals and contracts and maintains client files and correspondence. * Works with group and event coordinators and recommends best practices to ensure the highest level of guest experience. * Assists with arrangements for utilization of the driving range/upper tee for special events. * Prepares and maintains monthly group event calendar; account summaries; group payments and event billing reconciliation. * Assists with other non-group individual play and VIP requests. * Assists with helicopter bookings and other special services available at our facilities. * Maintains a regular visitation schedule to Wailea Resort partners, Maui vacation condominiums and West Maui vacation condominiums to provide updated information to sales and concierge teams on Wailea Golf Club, Wailea Golf Academy and Wailea Racquet Club. * Prepares annual wholesale/net rate agreements. Maintain updated list of wholesale accounts, pricing and policies as reference materials for operations/pro shop staff in a timely manner as changes occur. * On-site liaison/representative for company sponsored and other major events such as Women's Golf Day, Patriot Day, charity tournaments, golf entertainment activities and more. * Liaises with Gold/Emerald course golf shop staff, Blue course golf shop staff, racquet shop staff and Academy director of player development to facilitate inter-facility communication, sharing of information, and understanding of upcoming events and standard operating procedures related to execution of said events. * Compiles reports for group sales analysis purposes. * Other sales, marketing, PR and event duties as assigned. Qualifications/Skills: * 4-year college degree or equivalent experience in related field preferred. * Excellent written and verbal communication skills in the English language, including composing regular email correspondence, proposals, and form letters. * Experience and knowledge of the hospitality industry, golf industry, incentive/meetings business and the Hawaii market preferred. * Professional business writing and verbal communication skills, running reports from our specialty software (currently TEI and Shopify), proficient in Microsoft Office, including creating reports and documents in Excel, for example compiling client event information into a single worksheet. * Public speaking in small groups in a small group environment is critical to the position as it relates to site inspections (sometimes up to 8 people), hotel/property visitations, and events such as Women's Golf Day. * Ability to prioritize and juggle multiple tasks with attention to detail. * Proficient in Microsoft Office software; ability to learn and proficiently use golf/racquet industry specialized software solutions. * Working knowledge of social media tools: Facebook, lnstagram, X, Linkedln, etc. * Valid driver's license and reliable transportation with proper insurance for company reimbursed sales and PR calls. * Ability to proficiently operate, or ability to learn to proficiently operate electric and gas golf carts, and transport guests/clients in golf carts. * Flexible schedule which includes weekends, early mornings, evenings, and holidays when required. * A creative thinker with a flexible mindset. Physical Requirements/Environment: Regularly involves talking to guests/customers, general public, employees and co-workers; reading in print, monitor and mobile/smart device screens; concentration and alertness; attention to detail. Frequently experiences standing, walking, sitting, reaching, handling, receiving/giving instructions, meeting requests of others, use of a multi-line telephone. working at a computer station, writing/composing written language. Occasionally experiences bending, twisting, climbing steps, kneeling, stooping, pushing/pulling of 21- 50 pounds (golfer's bags with full set of clubs, file cabinet drawers), hand-eye-foot coordination, operation of a golf cart and other utility vehicles, use of a computerized register, driving to or commuting to visit/work at other sites, mathematical ability to review and reconcile group event accounting, heat and sunlight, wet and other environmental conditions typically associated with working around golf courses. Visual capabilities required: good to excellent vision, depth perception, wide field of vision, color vision. Job experiences approximately 6-7 hours indoors, 1-2 hour outdoors.
