Job Title: Property Management Assistant Job Type: Full-time Who we are: Community Counseling and Mediation (CCM) is a leading Brooklyn-based behavioral health organization committed to addressing the root causes and problems associated with mental illness, substance abuse, and alcohol abuse. As an innovative, community-based social service organization, CCM provides a wide range of social support, counseling, health, mental health, education, and supportive housing services to at-risk children, youth, and families in some of the most impoverished minority-populated areas of Brooklyn. With a history dating back to 1982, CCM has grown to serve over 25,000 individuals and families annually across Brooklyn and Manhattan. The organization operates over 25 programs and has become a key provider of culturally sensitive mental health services alongside educational, health, and social activities. Position Overview: We are looking for a self-motivated full-time Property Management Assistant with great attention to details and time management skills to join our team. The Property Management Assistant will be responsible for assisting daily operations of the Property Management Department in performing administrative duties, communicating with tenants, and coordinating with other CCM staff and/or outside vendors. Key Responsibilities: * Liaise with existing and prospective tenants. * Manage the email account of the Property Management Office and respond to inquiries regarding housing applications, supplies purchasing, and rental financing. * Assist Leasing Manager to create leases, communicate with tenants regarding lease signing, annual recertification and rent arrears to achieve optimal occupancy and rent payments. * Assist Leasing Manager to complete monthly rent collection, rent rolls, and data upload. * Reach out to tenants regularly to collect information on the status of clients' wellbeing, rental assistance, voucher, and possible hardship. * Draft and distribute rent demand letters, lease violation notices, and other notifications as needed. * Maintain property resident files, property compliance binders, and other documents needed during audits and building inspections; Organize and maintain residential files ensuring uniformity throughout the sites. * Report to Property Management Director. * Other administrative management tasks as required. Requirements: * Literacy in Google Suite and MS Office, especially Excel and Google SpreadSheet. * Familiar with Yardi or similar property management software * Must be organized, client oriented, and able to pay attention to details * Bilingual in Spanish a plus * Familiar with the challenges that come with managing supportive/affordable housing * Strong communication skills, both written and verbal. * Works well with a diverse team * COVID-19 Vaccination Education and Experience: * Bachelor's degree in related field * Professional experience with the population with mental health disabilities and/or substance use disorders in a supportive/affordable housing setting * Experience with computerized property management systems recommended.
